Run Joiners, Rosters and Approvals Without Re-typing Between Systems

A property already has a PMS, a POS and often a time clock, and an HR tool that ignores them adds one more place to type. We help you decide what to record, where, and who approves, and then configure the records, workflows, approvals, reminders and self-service on your own system or on the GullyHR platform. We start from how your shifts run and not from a software demonstration.

The starting point

Which Parts of HR Still Live in a Chat Group?

In a busy property, HR runs on whatever is fastest: a messaging group for roster changes, a shared sheet for joiners, a notebook for casuals. These work until someone leaves, a month ends or an audit arrives, and then it matters that no single record exists.

We help you decide what to digitise, in what order, and how to get the floor to use it.

You may be experiencing:

  • Staff details held in several places, each slightly different from the others.
  • Rosters made in spreadsheets, then re-typed for attendance and again for payroll.
  • Leave, swaps and extra-hours approvals given by phone or in a chat, with nothing on record.
  • New joiners given access to the PMS or POS days late, and leavers keeping it for weeks.
  • Casual and banquet crews tracked in notebooks or on a supervisor's phone.
  • Staff who must ask the HR desk for payslips, balances and letters.
  • A system bought for one property that other outlets never adopted.

What we can help with

Our HR Technology and Automation Services for Hospitality

  • Systems and Workflow Review

List the systems and sheets in use for rooms, billing, point of sale, time and attendance, and HR. Note what data moves between them by hand, where duplicates arise and which records every department treats as final.

  • Single Staff Record

Design one record for each person, covering permanent, trainee, casual and outsourced staff, so details are entered once and used wherever needed.

  • Shift and Roster Workflows

Configure drafting, approval and publishing of rosters by department, including split shifts, night shifts, weekly offs and swaps, with the final roster feeding attendance.

  • Attendance, Leave and Extra-hours Approvals

Set up approval flows for leave, missed punches, swaps and extra hours, with the right approver for each department and a deputy when they are off shift.

  • Joiner, Leaver and Access Workflows

Configure the joiner and exit workflows so that uniform, locker, logins and clearance appear as tasks for IT, stores and the department, with the last-day withdrawal of access tracked.

  • Payroll Input Workflows

Arrange how attendance, extra hours, allowances, pool details and recoveries are gathered, checked and approved before they go into payroll, in your system or in the GullyHR platform.

  • Self-service for Staff and Supervisors

Set up what staff can see and request on a phone, such as rosters, balances, payslips and letters, and what supervisors can approve from the floor, in simple language and the languages your team uses.

  • Data Migration and Roll-out Sequence

Clean and move existing records, plan a trial in a few departments and then a staged roll-out across outlets, with training sessions for each shift.

Working together

Ways to Work With Us

  • Scoping and Module Plan

A short review of what to digitise first and what can wait.

  • Configuration on GullyHR

Records, workflows, approvals and self-service set up on the GullyHR platform.

  • Configuration on Your Own System

Process design and configuration support for the HR or property system you already use.

  • Roll-out and Training Support

Shift-by-shift sessions and a follow-up period to help your teams adopt it.

Scope, responsibilities and commercial terms are agreed before the engagement begins. We configure what the chosen system supports, and we say so plainly when it does not.

The deliverables

What You Receive

Depending on the agreed scope, you can expect:

  • A map of your current systems, sheets and hand-offs.
  • A module plan and implementation sequence.
  • A defined single staff record and data fields.
  • Roster, attendance, leave and extra-hours workflows.
  • Joiner, leaver and access task workflows.
  • Payroll input workflow and checks.
  • Self-service views and a training outline for each shift.
  • A data migration plan with a checklist of what is cleaned and loaded.

Step by step

How We Work

  1. Map the Real Workflows

We follow how a joiner, a roster change, an overtime approval and an exit actually move today, including the parts that run on chat.

  2. Decide What to Digitise First

With you, we choose the few workflows that cost most time or cause most errors, and leave the rest for later.

  3. Configure and Test

We set up records, approvals, reminders and reports, then test them with supervisors from different shifts, including night staff.

  4. Move the Data and Train

We organise the data for loading and train people shift by shift, so each person learns on a device they will actually use.

  5. Support and Compare

We record where you stand before work starts and review how long the chosen tasks now take and how often the workaround returns.

The difference

Cut Re-typing and Keep the Record Whole

Well-chosen automation helps your property:

We do not promise outcomes. We record a baseline before work starts, covering the number of places each staff detail is held, hours spent re-typing between rosters, attendance and payroll, and how long leavers keep system access, and report against it, so you can see what changed and what did not.

  • Hold one record for each person, permanent or casual.
  • Build the roster once and carry it to attendance and payroll inputs.
  • Approve leave, swaps and extra hours on record.
  • Provide and withdraw system access in step with joining and leaving.
  • Let staff see rosters, balances and payslips on a phone.
  • Reduce the work that disappears when one person leaves.

Find your fit

Who This Service Is For

How it usually shows up in hospitality

Hotels already run on software for reservations, billing and housekeeping, while their HR is mostly paper and spreadsheets. Rosters for each department are built by heads of department, often on paper, and changed constantly. Attendance comes from a register or a biometric device and is reconciled with overtime and duty meals by hand. Casual and outsourced staff are outside any system. Training and hygiene records are on paper. Service charge and tips are calculated in a spreadsheet. A group has a different arrangement at each property, and head office sees what has been retyped. Staff cannot see their roster, leave balance or payslip without asking. The data that tells a property who is on shift, who is covering whom and who has finished late already exists on the roster board, in one person's head.

Common challenges

Where it goes wrong in hospitality

  • Rosters are on paper

Each department keeps its own and changes it by phone. A head of department who changes the roster by phone has made a decision HR cannot see.

  • Attendance, overtime and meals are separate

    Reconciliation is manual each month.

  • Casual and outsourced staff are invisible

They work and are not in any system.

  • Staff cannot see their own information

They ask the office for their roster, leave and pay.

A better process

What a working version looks like

  1. 01

    Digitise rosters across departments

One roster tool, with swaps and changes visible to the team and to head office. The HR process automation work starts here. Show it to the department heads who will use it before choosing it, and ask what they would drop.

  2. 02

    Join attendance, overtime and meals

    One record feeding payroll.

  3. 03

Add casual and outsourced staff on a light record

Name, identity, employer, dates. GullyHR software supports this.

  4. 04

    Give staff a phone view

Roster, leave and payslip on the staff member's phone.

What to check this week

  • Ask a head of department how the roster is made and changed.
  • Check whether attendance, overtime and meals reach payroll from one source.
  • Count outsourced staff who appear in any system.
  • Ask a housekeeper whether she can see next week's roster on her phone.
  • Compare the HR tools at two properties in the group.

What this looks like in hospitality

The parts of hr technology and automation that are specific to this sector, rather than general.

Property Systems and the HR Record

Integrating with the systems a hotel already runs.

What this covers

A property already runs a PMS, a POS and often a time clock. HR technology that ignores them creates duplicate entry, and duplicate entry in a high-churn environment produces inaccurate records within weeks.

  • Single employee master feeding property systems
  • Access provisioning and revocation tied to joining and exit
  • Department-wise rostering across a 24-hour operation
  • Split shift and night shift handling
  • High-volume joiner and leaver processing
  • Tip and service charge pool records
  • Casual and banquet staff handled as a distinct category
  • Property and group-level reporting from one source

Access revocation on the last working day is the integration that matters most and is most often manual, which is why departed staff commonly retain system access for weeks.

Questions on this, in hospitality

Often not. We look at what your PMS, POS, time clock and payroll already do, decide where an HR record or workflow is missing, and configure it on your own system or on the GullyHR platform. Replacement is a last resort.

Put the Routine Work Into One Dependable System

If HR depends on chat groups and one person's spreadsheet, start by mapping the workflows, then decide what to move.

The general method — what hr technology and automation covers, the questions it answers and what an engagement produces — is the same whatever the sector, and is set out on the hr process automation page. What is above is the part that differs for hospitality.

To run this in a system rather than on paper, see gullyhr software.

Where to start

Most engagements begin with a review of how this runs in your business today, then a written process and the sequence to implement it.
