Replace Repetitive HR Work with Connected Digital Workflows
Leave requests on WhatsApp, attendance corrected in a spreadsheet, approvals chased by phone call — automating any of this only works if the underlying process is sound first. We design the process, then configure it as connected digital workflows so requests, approvals, records and reports run without someone pushing every step.
What is hr process automation?
HR process automation is the work of turning a designed HR process into connected digital workflows: employees and managers raise and approve requests in a system, notifications replace manual follow-up, documents generate automatically, and dashboards report what is happening without anyone compiling a file. It replaces repetitive manual work with configured workflow, not with a single piece of software bought off the shelf.
When businesses ask us for this
- Leave requests arrive on WhatsApp, over email and occasionally on paper, and HR reconciles all three by hand before payroll.
- A manager forgets to approve a pending request for two weeks, and nobody gets a reminder until the employee complains.
- Every new joiner's documents are collected, checked and filed manually, and the same information is typed into three different files.
- Management asks for a headcount or attrition number, and someone spends a day pulling it together from spreadsheets.
- An employee has to email HR to check their leave balance, because there is no way for them to see it themselves.
- Two systems hold overlapping employee data, and updating one does not update the other, so records quietly drift apart.
- A process was digitised years ago in a tool nobody configured properly, so people work around it rather than through it.
What the work covers
GullyHR turns a designed HR process into connected digital workflows. We map the process as it should run, design the approval routes, notifications, self-service actions and reports it needs, and configure all of it in the GullyHR software or in the HR and payroll systems you already run. Where a process has not yet been properly designed, we design it first, because automating a broken process only makes the breakdown faster. You confirm approval levels, access rules and which processes to prioritise, since those decisions shape what the system will actually do. This is a defined consulting and implementation engagement with an agreed scope, not an ongoing outsourced IT service.
Every process is mapped before it is automated.
The steps, decision points, approvers and records a process needs, drawn out clearly enough that a workflow can be built from it directly, rather than guessed at while configuring software.
Workflow design turns the map into a system-ready sequence.
Each step in the mapped process assigned to a system action — a form, an approval, a notification, a record update — so what should happen and what the software will actually do are the same thing.
Approvals move through the system, not through follow-up calls.
Multi-level approval routes configured for leave, expense, requisition, movement and exit requests, with escalation rules for requests that sit too long, so an approval waits on a person rather than on someone remembering to chase them.
Notifications and reminders do the following up automatically.
Automated alerts for pending approvals, upcoming confirmation dates, expiring documents, missed attendance regularisation and other time-bound actions, sent to the person who needs to act rather than discovered later.
Employees get self-service instead of needing to ask HR.
Leave balance, attendance record, payslips, policy documents and personal information updates made available to employees directly, within the access rules you set, reducing the routine queries that land on HR.
Managers get self-service for the decisions that are theirs.
Approvals, team attendance, leave planning and performance actions made available to managers directly from their own dashboard, so a manager can act on their team without routing everything through HR.
Documents generate instead of being drafted by hand.
Offer, appointment, confirmation and other letters generated from approved templates and employee data the moment an approval completes, so the document and the decision happen in the same step.
Dashboards give management a live view instead of a monthly file.
Headcount, attrition, attendance exceptions, pending approvals and confirmations due, reported from the same data the workflows produce, so a number requested today does not need a day to assemble.
HRMS implementation puts the whole design into one working system.
Configuration of the GullyHR software, or the HR system you already run, covering employee master data, workflow rules, user roles, letter templates and reports, tested against real cases before it goes live.
Integration connects HR to the other systems that need the same data.
Where attendance devices, payroll software or accounting systems need employee or attendance data, we design the data flow between them so the same information is not entered twice and does not drift apart over time.
How it runs
Confirm the process is ready to automate
We check whether the process to be automated is already agreed and stable, or whether it needs design work first, because configuring a workflow around an unsettled process just moves the confusion into software.
Map the process for system design
The agreed process is drawn as steps, decision points, approvers and records, in enough detail that a workflow can be built directly from the map.
Design the workflow and notifications
Each step is assigned to a system action, approval routes and escalation rules are set, and the notifications and reminders that keep the process moving are defined.
Agree access and approval levels with you
Who can see what, who can approve what, and at what value or level something escalates are decisions we put in front of you, since they set what employees and managers will be able to do in the system.
Configure the system
The GullyHR software, or the HR and payroll systems you already run, are configured with the workflow, approval routes, notifications, letter templates, self-service screens and reports designed in the previous steps.
Test against real cases
The configured workflow is run against real employee cases and edge cases before go-live, so exceptions are found and fixed while nobody's actual leave or payslip depends on it.
Train employees and managers
Employees and managers are shown how to use self-service, submit and approve requests, and read the dashboards relevant to them, before the workflow goes live for everyone.
Go live and review
We support the first live cycle, then review usage and exceptions with you and adjust the workflow, notifications or access rules that did not hold up in practice.
What you receive
- A process map for every process taken up for automation.
- A workflow design document naming the system action, approver and notification for each step.
- Configured approval workflows for the processes in scope, in the GullyHR software or your existing system.
- Employee and manager self-service screens for the actions agreed in scope.
- Automated letter and document generation linked to the relevant approval workflows.
- Management dashboards covering headcount, attrition, attendance exceptions and pending approvals.
- A tested and configured HRMS setup, including user roles, letter templates and reports.
- An employee and manager training session and support through the first live cycle.
Who it is for
- Companies still running HR processes over WhatsApp, email and spreadsheets, where the manual effort is now larger than the headcount justifies.
- Businesses that bought an HR system some time ago but never configured it properly, so people work around it instead of through it.
- Companies opening a second location or scaling headcount, where manual approval and record-keeping will not hold at the new scale.
- Businesses where management regularly waits days for a workforce report that should be available on demand.
- Companies running multiple systems, such as a biometric device, payroll software and a spreadsheet, that do not share data with each other.
- Organisations that have completed process design work and are ready to automate what is now a stable, agreed process.
Why GullyHR.
Most automation projects fail because a system was configured before the process was actually agreed, so the software ends up encoding the confusion rather than removing it. GullyHR designs the process first, then configures the workflow, the notifications, the self-service screens and the dashboards in the GullyHR software or your existing system, so what the software does and what you decided the process should be stay the same thing.
What changes
- Leave, attendance, movement and exit requests move through one system instead of across WhatsApp, email and paper.
- Approvals move on their own schedule, because escalation and reminders do the following up that a person used to do.
- Employees find their own leave balance, payslip and policy documents without emailing HR.
- Letters generate the moment an approval completes, instead of being drafted separately afterwards.
- Management gets a live view of headcount, attrition and pending items instead of a file assembled on request.
- Employee data entered once carries through to attendance, payroll and reporting, instead of being retyped in each system.
Who does what
| Activity | GullyHR | Your team |
|---|---|---|
| Mapping the process | Draws the process as steps, decision points and approvers ready for system design, using existing process documentation where it exists. | Confirms the process is finalised, or takes part in resolving open questions before mapping proceeds. |
| Setting access and approval levels | Presents workable options for who can see and approve what, based on your structure and current practice. | Takes the final decision on access and approval levels. These are management and data-security decisions. |
| Configuring the system | Sets up workflows, approval routes, notifications, letter templates, self-service screens and reports, and tests them against real cases. | Supplies employee master data, the reporting structure and confirms user roles and access rules. |
| Training employees and managers | Runs the training sessions and prepares user guides for self-service and approval actions. | Releases employee and manager time to attend training and supports adoption once the workflow is live. |
| System integration with other tools | Designs the data flow between HR and other systems such as attendance devices or payroll software. | Provides access to those systems and confirms the data ownership and update rules between them. |
Where the software fits
The GullyHR platform is built to run exactly this kind of connected workflow: employee records, attendance, leave, payroll input, performance, documents and exits sit in one system, so an approval in one area updates the record everywhere it needs to be reflected, rather than requiring a separate update in each place. Notifications, self-service, letter generation and dashboards are standard features of the platform, configured to the process you have agreed rather than left at their default settings. Where you already run a biometric device, a payroll package or another HR system, we design the automation around it and integrate where the systems allow, rather than requiring you to replace what already works for you.
Ways to engage us

- A continuing arrangement that extends automation to further processes over time and adjusts workflows as your structure, headcount or policies change.
Questions we are asked
It is the work of turning a designed HR process into connected digital workflows: employees and managers raise and approve requests in a system, notifications replace manual follow-up, documents generate automatically, and dashboards report what is happening. It configures a process into a system rather than simply buying software.
Usually when leave, attendance and approvals are still running over WhatsApp, email and spreadsheets, when management waits days for a workforce report, when an existing HR system was never properly configured, or when headcount growth has made manual tracking unreliable.
We assess which processes are ready to automate and which need design first, then deliver process maps, a workflow design, configured approval workflows, self-service screens, automated document generation and management dashboards, in the GullyHR software or your existing system.
Yes. Where you already run an HR or payroll system, we assess what it can support and configure automation around it rather than requiring you to replace it. Your HR team takes part in confirming process detail and access rules, and holds the configuration afterwards.
No. Automation can be configured in your existing HR or payroll system where it supports the process you have agreed. The GullyHR platform is offered where it is the more sensible option, and that decision is separate from the process design and automation work itself.
We recommend against it. Automating an unsettled process usually just makes the confusion move faster. Where a process needs design work first, we do that as part of the same engagement before configuring any workflow around it.
HR process consulting and implementation covers the full lifecycle of designing, documenting and rolling out a process, on paper or in a system. HR process automation is specifically the configuration of that process into connected digital workflows once it is designed. Many engagements include both.
It depends on how many processes are in scope, whether they need design work first, how many locations and employee categories are covered, and how much data needs to be migrated or cleaned before configuration. Timelines are agreed in the proposal.
After a consultation and a review of your current processes and systems. We agree which processes to automate, in what sequence, what will be configured for each, and the testing and training steps required. The proposal states scope, deliverables and review points before work begins.
Access to employee data in the GullyHR platform, or in the system we configure, is controlled by the user roles and access rules you approve, so people see and edit only what their role requires. Data handling practices are agreed as part of the implementation plan before configuration begins.
