HR Systems a Store Manager Can Use Between Customers

A store manager will use an HR system only if it works on a phone, in a minute, between customers. We help you decide what to automate across stores, areas and head office, choose or configure tools that fit, and set up rosters, attendance, approvals, reminders and reports on your own system or on the GullyHR platform. We start from the work, then the tool, never the other way round.

The starting point

Does Your HR System Work Where Stores Work?

Many chains bought HR software that suits head office and then wondered why stores keep sending photographs of rosters and registers. A system that a manager cannot use on the shop floor ends up as a place where HR re-types what the stores sent by message.

We help you decide what to automate and set it up so that stores really use it.

You may be experiencing:

  • Rosters shared as photographs or spreadsheets, then re-keyed into attendance.
  • Attendance devices, point-of-sale logins and HR records in separate systems that never reconcile.
  • Leave and regularisation requests approved by calls to the store manager.
  • Store managers asked to use a desktop screen they do not have time to sit at.
  • Reports assembled by hand each week from several files.
  • New joiners given logins to systems one at a time, and leavers' logins left active.
  • Different tools in owned stores and franchise outlets, with no common picture.
  • A vendor's list of features, and no clear list of what stores actually need.

What we can help with

Our HR Technology and Automation Services for Retail

  • Technology Needs Review

Look at what stores, area managers, HR and finance do each week, and mark the tasks that waste time or cause errors: roster, attendance, leave, joining, incentives, exits. Rank them by effort saved and risk reduced.

  • Store-first Workflow Design

Design each flow for a manager on a phone: a few taps to approve leave, publish a roster, correct a punch or raise a requisition. Remove fields that head office wants but the store cannot supply.

  • Roster and Attendance Set-up

Configure roster publishing, change control, shift swaps and attendance capture, and connect them so that the roster that was in force is the one payroll uses.

  • Approval Chains and Limits

Set approvals by store level and role in line with your approval matrix, with reminders and an escalation if a request sits too long on a busy day.

  • Integration with POS, Biometric and Payroll

Define what data moves between your point-of-sale, attendance devices, HR records and payroll, who owns each feed and how errors are handled. We use only what your systems can support.

  • Access Provisioning and Removal

Link joining and exit workflows to logins for billing, discounts, stock and apps, so access follows the person's role and ends on the last day.

  • Reports and Dashboards for Stores and Areas

Set up simple views for store managers, area managers and HR: today's attendance, pending approvals, vacancies, leave on the roster, with drill-down by store.

  • Rollout, Training and Support

Introduce the tool a few stores at a time, with quick guides, short training in the stores themselves and a named contact for the first weeks.

Working together

Ways We Can Help With Technology

  • Needs and Selection Support

A short review and shortlist if you are choosing a tool.

  • Set-up on Your Current System

Workflows, approvals and reports configured on what you already own.

  • Set-up on the GullyHR Platform

Workflows, records, approvals, reminders and reports configured for you.

  • Rollout and Support

Phased rollout to stores with training and follow-up.

We configure workflows, records, approvals, reminders, reports and self-service on the GullyHR platform or on your own system. Scope and commercial terms are agreed before work begins.

The deliverables

What You Receive

Depending on the agreed scope, your engagement can include:

  • A ranked list of HR tasks worth automating.
  • Store-first workflow designs, with screens described in plain words.
  • Roster, attendance and leave configuration.
  • An approval chain by store level.
  • A data-flow note across POS, attendance, HR and payroll.
  • A joining and exit access checklist.
  • Store, area and head-office report views.
  • A rollout plan with training material and a support route.

Step by step

How We Work

  1. Sit With the Store

We watch managers handle rosters, leave and attendance on a normal day, and note what they do on a phone and what they leave for later.

  2. List and Rank the Tasks

With HR and finance, we list the tasks to automate and rank them by how much they cost in time and mistakes.

  3. Design the Flows

We design each flow around the store manager's few minutes, and agree which approvals, reminders and reports are needed.

  4. Configure and Trial

We set up the workflows on your system or on the GullyHR platform, and trial them in a few stores of different formats.

  5. Roll Out and Review

We extend to more stores, support the first weeks and review use with you against the baseline noted at the start.

The difference

Replace Re-keying and Chasing With Workflows Stores Will Use

Well-scoped store technology can help your chain:

We do not promise outcomes. We record a baseline before work starts, covering the hours HR spends re-keying store data, the share of requests approved within the day and the reports assembled by hand each week, and report against it, so you can see what changed and what did not.

  • Publish rosters and record attendance without re-entry.
  • Approve leave and corrections from a phone.
  • Give joiners and leavers the right access on time.
  • Let area managers see pending items by store.
  • Reduce reports built by hand.
  • Use one set of definitions across owned and partner outlets.

How it usually shows up in retail

Retail HR systems are often chosen at head office and judged at the store. A store manager with a queue at the counter cannot sit at a desktop to activate a joiner, change a roster or complete an exit, so a paper register or chat group stays in use beside the system. Attendance may come from biometric devices in some stores and registers in others. Rosters are made on paper or in a spreadsheet and shared as a photo. Swaps and leave requests travel by message. The POS and stock systems hold their own user lists, which are not connected to joining and exit. Reports are put together from store submissions at month end. High joiner and leaver volume strains any process that needs several approvals. Employee records are kept in whatever format each store uses, so a transfer between stores means retyping. One person at head office often holds the only working knowledge.

Common challenges

Where it goes wrong in retail

  • The system suits head office

Store managers cannot use it during trading hours, so they keep registers.

  • Rosters travel as photographs

Swaps and changes happen in chat, outside any record.

  • POS access is separate

Till logins are not tied to joining and exit.

  • Reports are assembled by hand

Store submissions are combined at month end, so errors are caught late.

A better process

What a working version looks like

  1. 01

    Start with the store tasks

Joiner activation, roster publishing, attendance, leave and exit completion, all possible on a phone. See HR process automation.

  2. 02

Make the central record the only record

One employee file per person, which follows a transfer between stores.

  3. 03

Link access to joining and exit

POS and stock logins created and removed by the same workflow.

  4. 04

    Keep approvals short

One approver per step, with an escalation if the store manager is busy or away.

  5. 05

    Migrate carefully

Clean the store lists, load one area first and run the old and new records side by side for a month. The attendance and leave module is usually the first to go live.

What to check this week

  • Watch a store manager try to publish a roster change on a phone.
  • Find the stores still using paper registers beside the system.
  • Check whether POS user lists match the current employee list.
  • Ask what would stop if the person who builds the monthly report left.
  • Count the approvals needed to bring a joiner onto the roster.

What this looks like in retail

The parts of hr technology and automation that are specific to this sector, rather than general.

Store Systems a Manager Can Run

HR technology that works during trading hours.

What this covers

Retail HR technology succeeds or fails at store level. If a store manager cannot complete a joiner, a roster change or an exit on a phone between customers, they will keep a register instead.

  • Store-level joiner activation and exit completion
  • Roster publishing and shift swap from a phone
  • Attendance capture at store, including part-time patterns
  • Store-wise headcount, cost and attrition visibility
  • High-volume frontline joiner and leaver processing
  • POS and stock system access tied to joining and exit
  • Area and regional reporting from one source

Tying POS access to the exit process closes the gap that most stores carry, where a departed employee's till login remains active until somebody happens to notice.

Questions on this, in retail

Not always. Often the existing system can do more once it is configured around store work. We review what you have first, and recommend something new only where the current tool cannot reasonably support what the stores need.

Set Up HR Technology for the Way Stores Really Work

If store managers send photographs and HR re-types them, start with one workflow, such as rosters or leave, and fix it properly.
