Make Your HR Tools Agree With Each Other, and With Your Access Systems
Software companies are comfortable with tools, yet HR often runs on a patchwork: a tracking tool for recruiters, a sheet for the employee master, a separate attendance application and payroll inputs sent by email. Each works alone and nothing connects. We help you fix the data first, automate the highest-volume flows, tie joiner and leaver events to access, open self-service and plan migration with checks. We work in your existing systems or on the GullyHR platform.

Not sure what you need? Tell us about your business in six short steps and we will come to the first meeting prepared.

Do Your HR Tools Talk to Each Other?
A joiner is created by hand in several places. A leaver is closed in HR while repository or cloud access stays open. Integrations to finance and IT were built by engineers who have since moved on.
We help you decide what to automate, in what order, and what has to be fixed before any tool can help.
You may be experiencing:
- A joiner entered separately in recruitment, HR, attendance, payroll and IT.
- A leaver closed in HR while access to source control or cloud accounts stays open.
- Self-service that covers part of what employees need, so HR still answers requests for letters, balances and approvals.
- Integrations with finance and IT built ad hoc, with nobody now responsible for them.
- Payroll inputs sent by email and re-entered by an outside provider.
- Appraisals in forms, learning records in a sheet and goals in a third place.
- A new system bought, and a migration that uncovers the quality of the old records.
What we can help with
Our HR Technology and Automation Services for Software Companies
Tool and Data Inventory
List every tool that holds employee data, who owns it, what it holds and where records disagree. This becomes the map from which sequencing and integrations are decided.
Employee Master Data Design
Define the employee record and its owner as the single source, with fields, identifiers and change rules, so other tools draw from it and no one retypes it.
Joiner, Mover and Leaver Automation
Design workflows triggered by HR events: a joiner starts access and equipment requests, a transfer changes access and approvers, and a leaver starts handover, access revocation and clearance.
Attendance, Leave and Roster Workflows
Configure the rules, approvals and records for attendance, leave and shifts, including remote and multi-location variations, with reminders and escalation to a named approver.
Payroll Input Workflow
Set the route and format for inputs to payroll, with cut-offs, approvals and checks, whether payroll runs in your system, on the GullyHR platform or with an outside provider.
Self-service for Employees and Managers
Decide what employees and managers can view, request and approve themselves, such as balances, letters, goals and team calendars, and configure it with sensible access limits.
Performance and Learning Records
Set up goals, review cycles, skill matrix and certification records so appraisals and training draw on the same employee data.
Implementation and Data Migration
Plan the move to a new or reconfigured system: data mapping, cleaning, trial loads, reconciliation and cut-over, with checks agreed before and after.
The deliverables
What You Receive
Depending on the agreed scope, your engagement can include:
- A tool and data inventory with owners.
- A defined employee master and field list.
- Workflow maps for joiner, mover and leaver events.
- Configured attendance, leave and roster rules.
- A payroll input workflow and checks.
- A self-service scope for employees and managers.
- A migration plan with reconciliation steps.
- Hand-over training and a list of who owns each integration.
Step by step
How We Work
Map What Exists
We list your tools, the data each holds, the links between them and the manual steps between one and the next.
Fix the Data First
We agree the master record, clean what exists and list what has to be filled, since automation spreads whatever data it is given.
Choose What to Automate
We rank flows by volume and risk, usually joiner and leaver events, leave and payroll inputs, and design the first set.
Configure and Test
We set up workflows and approvals in your system or on the GullyHR platform, and test them with live cases from one team.
Hand Over and Review
Before work starts we record the position. We hand over with owners and review results with you after the first cycles.
The difference
Reduce Re-keying and Close the Gaps Between Systems
Better HR technology helps your company:
We do not promise outcomes. We record a baseline before work starts, covering the number of places a joiner is entered, the manual steps between recruitment and payroll and the days between exit and access closure, and report against it, so you can see what changed and what did not.
- Hold one employee record that other tools draw from.
- Start access and equipment tasks from the HR event.
- Close access as part of the exit workflow.
- Let employees see balances and request letters themselves.
- Know who owns each integration.
- Move to a new system with checks on the data.

How it usually shows up in information technology and software
Software companies are comfortable with tools, and yet HR often runs on a patchwork: an applicant tracking tool for recruiters, a spreadsheet for the employee master, a separate attendance application, payroll input emailed to an outsourced provider and appraisals in forms. Each works alone, but nothing connects. A joiner is created in several places by hand, and a leaver may be closed in HR while repository or cloud access stays open. Self-service is partial, so employees and managers ask HR for letters, balances and approvals. Integrations with finance and IT are built ad hoc by engineers who then move on. Data migration is attempted when a new system is bought and discovers the quality of the old records.
Common challenges
Where it goes wrong in information technology and software
Tools do not connect
The same person is entered separately in recruitment, payroll, attendance and IT.
HR events do not drive access
A resignation does not automatically trigger account removal or asset return.
Self-service is partial
Employees and managers still ask HR for balances, letters and approvals.
Migration exposes bad data
Old records are copied across with their errors intact.
A better process
What a working version looks like
- 01
Fix the data first
Clean and agree the employee master, then choose the tool. The automation work starts with processes and records.
- 02
Automate the highest-volume flows
Leave, attendance inputs, onboarding and exit workflows before the long tail. See HRMS implementation.
- 03
Tie HR events to access
Joining and leaving events trigger account creation, device issue and revocation, with an owner in IT.
- 04
Open self-service
Employees and managers see balances, documents and approvals themselves, with HR left for exceptions.
- 05
Plan migration with checks
Reconcile a sample of old records, agree cut-over dates and keep the old data for reference.
What to check this week
- List every tool that holds employee data and who owns it.
- Trace one leaver and see how many places their access was closed.
- Count requests to HR that employees could have answered themselves.
- Ask who maintains each integration and what happens if they leave.
- Check the quality of the master data in one department.

Questions on this, in information technology and software
It depends on the state of your data and processes. We often find that fixing the record and the workflows matters more than the tool. We help you compare the options, and the purchase decision stays with you.
We configure workflows, records, approvals, reminders, reports and self-service, on the GullyHR platform or on your own system where it allows. We do not claim more than that, and we say so early if something is not possible.
They can start the request and track it, such as a task to IT for a joiner or leaver. Whether access closes automatically depends on your IT tools. We design the sequence and the ownership so that nothing is left to memory.
By mapping fields, cleaning and de-duplicating records, running trial loads and reconciling counts and samples before cut-over. We list problems found for your teams to resolve. Migration only moves data; it does not make it correct.
Employee data is sensitive, so we agree access roles, who sees salary and personal details, and how changes are logged. Questions about data protection obligations are for your legal adviser, as GullyHR does not give legal advice.
You should have a named owner. We train that person, document the configuration and list the integrations and who looks after them, so the setup does not depend on one engineer.
The flows with the highest volume and the highest cost of error: onboarding, leave and attendance, payroll inputs and exits. Automating a bad process makes it faster, not better.
Because access that stays open after exit is a risk, and requests sent by email can be missed. The HR record is the reliable trigger.
Be wary. Internal tools depend on the engineers who built them and tend to become unowned. Build only where nothing suits, with a named owner.
Moving records without checking them. Clean and reconcile a sample, agree the cut-over and keep a reference copy.
Connect Your HR Data, Workflows and Access
If the same joiner is typed in five places and a leaver's access outlives the exit, start with the record and the events that drive the rest.

The general method — what hr technology and automation covers, the questions it answers and what an engagement produces — is the same whatever the sector, and is set out on the hr process automation page. What is above is the part that differs for information technology and software.
To run this in a system rather than on paper, see gullyhr software.
