Attendance, shift and leave process for Self-Drive Rental Companies: weekend peaks and branch cover
A rental branch is quiet on Tuesday and swamped on Friday evening. A roster that is the same every day wastes money in the week and leaves customers waiting at the peak.

Most rental branches run a standard roster with a few offs thrown in. When a long weekend approaches, the manager phones people to come in, and those who agree become the regulars on every busy day. Others feel the unfairness and stop picking up calls.
The booking calendar already tells you the shape of the week. Using it to plan counter staff, delivery drivers and yard teams, with weekend duty rotated fairly, brings predictability. Attendance then shows who covered the peaks, which matters when the record is used to decide pay and recognition.
How to set it up
1. Read the booking calendar by hour
For a few weeks, note pickups and returns by day and hour at each branch. Mark the peaks and the quiet hours.
2. Build a base roster and a peak roster
A standard shift pattern for ordinary days and an extended pattern for peaks, announced a week early. Include the delivery drivers and yard staff, not only the counter.
3. Rotate weekend and festival duty
Keep a visible list of who worked the last peaks. Offer time off in lieu or a duty allowance that is explained once. See compensation benchmarking.
4. Record attendance by branch and role
Keep one record covering counter, delivery, yard and support. Late arrivals at peak hours matter more than on quiet days, so note the hour.
5. Plan cover for leave
Ask for leave requests early for known peak dates and name a cross-trained person at each branch who can step in.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare the booking peaks with the roster for the last two weekends.
- List who worked every one of the last five peak days.
- Check the late arrivals that occurred at peak hours and ask why.
- Ask yard staff how often they are held back without notice.

Questions owners ask
Enough to cover typical busy days across branches, based on your own booking records. Train them in the handover routine so they are not a risk at the counter.
Keep a short call list of trained people, agree a rule for who gets asked first and record the cover. Fairness here prevents resentment later.
On the same system but a separate pattern. Their day is driven by delivery slots, and a mixed pattern leaves some customers waiting and some drivers idle.
