What is attendance, shift and leave management?

Attendance, shift and leave management is the set of rules and approvals that decide how working time is recorded, how shifts are assigned, how leave is applied for and sanctioned, and how corrections are authorised. For a growing business it is the single source of the working-day data that payroll, statutory registers and management reports all depend on.

Missed punches, device failures, client visits and travel days need a regularisation request carrying a stated reason, an approver and a cut-off date. We design that form and the window it must be raised in, so month-end corrections stop being verbal.

Overtime is authorised before it is worked.

  1. Publish the roster and holiday calendar

    The period opens with shifts allotted, weekly offs marked and the holiday list already visible to every employee, so nobody starts the month unsure of when they are expected to be at work.

  2. Capture attendance daily

    Punches, muster entries or self-service check-ins land in one record the same day. Field and client-site staff mark attendance through a defined method rather than by messaging HR.

  3. Raise leave and shift-change requests through one route

    The employee applies in the system or on the defined form, sees the balance the request will draw from, and the request reaches the named approver without a reminder call.

  4. Approve within the window

    The reporting manager approves or returns leave, shift swaps and overtime before the day is taken or the extra hours are worked, and a request left unattended escalates rather than lapsing.

  5. Regularise exceptions before the cut-off

    Missed punches, on-duty days and device failures are corrected through a regularisation request with a stated reason and an approver, raised inside a fixed window after the event rather than at month-end.

  6. Lock the period and hand over payroll inputs

    At the attendance cut-off the period is closed, a late change needs separate authorisation, and paid days, loss of pay, overtime hours and shift allowances go to payroll as one agreed input.

  7. Review the closed month with management

    HR reports absence, late marks, overtime and leave balances by department, and the exceptions that had to be corrected are examined so the rules can be adjusted for the next cycle.
