Performance management and incentive design for Self-Drive Rental Companies: rentals closed and cars cared for
If counter staff are paid only for rentals closed, they will close rentals. Incentives for a rental branch must also count damage handled, cars returned ready and customers who book again.

Branch incentives often copy retail: a small amount per booking, perhaps a monthly target. That pushes staff to hurry paperwork, skip walk-rounds and accept returns without a proper check. The result shows up weeks later in disputes and repairs that nobody can trace to a person.
A better plan is a small basket of measures: rentals closed, inspections completed with photographs, damage claims settled and repeat bookings. Delivery drivers and yard staff get their own basket, covering punctuality, handover quality and cars ready on time. Each measure should be one that the person can influence.
How to set it up
1. List what the branch wants
Ask branch managers what they would like more of and less of. Typical answers include fewer disputes, cars ready on time, higher repeat bookings and better reviews.
2. Build a basket per role
Three or four measures for each group, with plain definitions. Avoid anything the person cannot influence, such as the weather or the price of a model.
3. Make the data visible
Show each person their own numbers weekly on a sheet. Use HR reporting and analytics to roll them up by branch.
4. Hold a short monthly conversation
The manager talks with each person for ten minutes about what went well, what went wrong and what help is needed. Notes stay short.
5. Review the plan after a quarter
Check whether disputes fell, whether any measure was gamed and whether staff understand it. Adjust one thing at a time.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Read the last month's incentive calculation for one branch and see whether staff could reproduce it.
- Count disputes that can be traced to a specific handover.
- Ask staff which part of the plan they find unfair.
- Check whether top earners on bookings also have high repeat rates.

Questions owners ask
A little rushing may stop, which is the aim. Staff who inspect properly may take a few minutes longer per rental, and you gain in fewer disputes and happier customers.
Carefully. Ratings are affected by price and availability too. Use them as one measure, look at comments rather than only scores and never penalise a person for a rating outside their control.
Give them their own measures, such as cars ready on time and checklist completed. They are often left out, yet they affect the next customer's first impression.
