HR Software for Energy and Utilities Businesses With Plant, Site and Contractor Workforces
Shifts at a plant, a crew at a substation, a contractor team on a solar or wind site: the people records sit in too many places. GullyHR software holds the HR side in one system, from joining and induction records to attendance, leave and exits. We show it against your own sites in a demo.

Not sure what you need? Tell us about your business in six short steps and we will come to the first meeting prepared.
Share your requirementsWhat is hr software for energy and utilities?
HR software for energy and utilities holds the people records of a workforce spread across plants, substations and renewable sites: employee and contractor records, shifts, attendance, leave, induction and certificate dates, and exits. GullyHR software covers these on the HR side. It does not give technical safety advice, run payroll or replace your permit-to-work system.

The starting point
When businesses ask us for this
- Shift rosters live in a supervisor's notebook at each plant, so two people on the same shift are treated differently.
- Contractor workers arrive at a site before anyone in HR knows who they are or what they have completed.
- A certificate or authorisation date passes because the reminder sat in one person's calendar.
- Attendance from a substation, a solar site and the head office arrives on different days and in different formats.
- Nobody can say quickly which new joiners have completed induction and which are still pending.
- Employee and contractor numbers differ between the site, HR and finance, depending on who is counted.
- A leaver's site access and equipment are recovered by three people who never tell HR.
What the work covers
An energy or utilities business rarely has one workplace. People work shifts at a plant, travel to substations, spend weeks at a wind or solar site, and sit in an office. Some are employees and some are contractor workers. HR needs one record for each person, whichever site they work at. GullyHR software provides that: an employee management module for records and structure, an attendance module for shifts by site, an onboarding module that tracks induction against the person, and an exit module for clearance. We configure each to your sites and your rules. Safety rules, permits and technical procedures stay with the teams who own them.
Shift workforce: rosters and attendance by site.
Shift patterns are set up as each plant or site really runs them and assigned to teams or individuals. Daily attendance is held against the shift, regularisation of a missed punch has a route, and holidays can differ by location. If a biometric device is installed, we assess what it can export before promising anything.
One employee record across plants, substations and renewable sites.
Department, location, designation, reporting manager and employment status sit on one record. A transfer between sites goes through an approval route and updates the record, so the roster and leave approver follow the person.
Contractor workforce: record who is on site and under what status.
Employment status on the record lets you separate employees from contractor workers in headcount and reports. The module records the details you choose and the documents you hold. Whether someone is correctly engaged as a contractor is a legal question for your adviser. GullyHR does not supply contract workers.
Safety induction records: HR-side only.
The onboarding module tracks induction sessions and topics against each new joiner, so you can see who has completed safety, policy or role induction and who is pending. The content of the induction, and any rule about who may work where, is set by your safety function. GullyHR gives no technical safety advice.
Permit-to-work and authorisation records: the HR side.
Your permit system issues and closes permits. HR can hold the supporting people records: training dates, certificates and authorisations held against the employee, with alerts to the owner ahead of a renewal. We do not connect to a permit system we have not assessed and do not claim to.
Documents and policies reach the right site.
Identity proofs, certificates and letters are stored against the employee. Policies and site-specific rules are published to the roles, departments or locations they apply to, with acknowledgements recorded by version.
Exits close with every clearance confirmed.
Resignation, notice, asset and access clearance, exit interview and settlement inputs run on one checklist. IT, finance, facilities and the manager each complete their own step. Payroll or finance computes and pays.
The process
How it runs
Map your sites and workforce types
List plants, substations, renewable sites and offices, and the employee and contractor groups at each. Note shift patterns, weekly offs, holiday lists and approvers.
Agree what HR records
Decide the fields, documents, induction topics and certificate types HR will hold. Your safety and operations teams confirm what must be tracked.
Configure the modules
Set up the employee structure, shifts by site, leave rules, onboarding checklists and exit clearances. Where a device or another system is involved, we say what is possible after assessing it.
Migrate and check
Bring in your existing records from spreadsheets and registers. Gaps and duplicates are listed for you to close, and you check a sample before go-live.
Run a parallel cycle
Use the old registers and the new system together for one attendance and leave cycle, compare results and fix differences.
Train site users and go live
Train HR administrators, site supervisors and managers on their own steps, then switch over with continued support.
What you receive
- A site and workforce map, with shift patterns and approvers for each location
- Configured employee structure, roles and access
- Shift, attendance and leave set-up by site
- Onboarding and induction checklists by role or site
- Document types and renewal alerts with owners
- Exit clearance checklist and settlement input pack format
- Migrated records with a verification list and a parallel-run comparison
Who it is for
- HR heads and plant HR managers in power generation, transmission, distribution, water or gas businesses with several sites.
- Renewable energy developers and operators with small teams spread across solar or wind locations.
- Companies whose rosters, leave and attendance are kept site by site in registers and spreadsheets.
- Businesses that work with contractor teams and want a clean separation of employee and contractor records.
- Owners preparing for a customer, lender or investor review that will ask how people records are kept.
Why GullyHR.
We start from how your sites actually run, not from a feature list. We configure to the rules your management confirms, say plainly what we have not assessed, and keep HR records separate from safety and technical decisions that belong to your engineers and safety officers.
Design the process
Map how the work runs today, then write the procedure, the forms and the approval route it should follow.
Strengthen management
Settle the structure, the roles and the decisions each level can take without the owner.
Develop people
Train the managers who have to run it — the review, the difficult conversation, the handover.
Automate HR
Configure the agreed process in software, so the document and what people actually do stay the same thing.
The difference
What changes
- One employee record per person, whichever site they work at, with employees and contractors told apart.
- Attendance and leave from every site closed against the same cut-off before payroll inputs go to your provider.
- Induction completion visible per joiner, so pending ones are chased rather than assumed done.
- Certificate and authorisation dates reach their owner before they pass.
- Exits that close with every clearance confirmed on the record.
What it looks like
Sample site and workforce map
The first working document lists each site, its workforce type and the HR module that applies.
| Workforce | Shift pattern | HR module | |
|---|---|---|---|
| Plant operations team | Rotating shifts | Attendance, shift and leave | |
| Substation crew | Day with call-out | Attendance, shift and leave | |
| Solar or wind site team | Site pattern, weekly off | Employee record, attendance | |
| Contractor workers on site | Per contractor arrangement | Employee record, onboarding |
Illustrative only. The real map uses your sites, shift patterns and workforce groups.
Before you enquire
This is not the right fit if
We would rather say so here than after a call. If one of these describes you, the links alongside point to what will serve you better.
- You want technical safety advice, permit procedures or hazard assessments; those belong with your safety and engineering functions.
- You want contract workers supplied or their backgrounds verified; GullyHR does not do either.
- You want pay computed or statutory returns filed; GullyHR does not do that.
- You expect a promised connection to a named plant, permit or biometric system before we have assessed it.

Working together
Who does what
| Activity | GullyHR | Your team |
|---|---|---|
| Safety rules, permits and technical procedures | Does not give technical safety advice or issue permits. | Owns safety content, the permit system and who may work where. |
| Induction and certificate records | Configures tracking and alerts on the HR side. | Confirms topics, certificate types and renewal owners. |
| Shift and attendance set-up | Configures patterns by site and assesses any biometric device. | Confirms shift rules, approvers and holiday lists. |
| Contractor engagement decisions | Holds contractor records you choose. Does not supply contract workers. | Decides engagement terms and confirms them with a qualified professional. |
| Pay and statutory filings | Prepares attendance and leave inputs. Does not compute pay or file returns. | Keeps its own provider or team for pay and filings. |
Where the software fits
The software runs as GullyHR's modules, configured to your sites. We look at any biometric or punch device, or other system, before saying whether data can be brought in, and we do not assume a connection to a permit-to-work or plant system.
Ways to engage us
- Demonstration against your sites
- A walkthrough using your shift patterns, site structure and workforce types. A written proposal follows.
- Implementation
- Configuration, data migration, parallel run and training for the modules in scope, in phases if you have many sites.
- Ongoing support
- Changes as a new site, shift pattern, contractor group or role comes on.
Good to know
Questions we are asked
It needs to handle a workforce across several sites: shift rosters, attendance by location, leave, employee and contractor records, induction and certificate tracking, and exits. GullyHR software covers these on the HR side through its employee, attendance, onboarding and exit modules, configured to your sites.
No. The same modules serve any business with shifts and multiple sites. This page describes how they apply to energy and utilities, such as plants, substations and solar or wind sites. The set-up depends on your sites and rules, and we confirm it in a demonstration against your structure.
It can track induction sessions and topics against each new joiner, showing who has completed them and who is pending. That is an HR-side record. The induction content, safety rules and permits belong to your safety function, and GullyHR gives no technical safety advice.
No. Permits are issued and closed in your own system, and we do not claim a connection to one we have not assessed. HR can hold related people records, such as training dates and certificates against the employee, with alerts to the owner before a renewal.
Employment status on the employee record separates employees from contractor workers in headcount and reports. We hold the details and documents you choose. GullyHR does not supply contract workers or verify backgrounds, and whether an engagement is appropriate is a question for your adviser.
It holds shift patterns that differ by site, captures daily attendance against the shift, routes leave and missed-punch regularisation to the right manager, and keeps holiday lists by location. If a biometric device is installed, we assess what it can export and tell you what is possible before promising it.
No. It prepares the inputs payroll needs, such as attendance, leave and approved changes, in one pack in your provider's format. Your provider or finance team computes pay, pays it and files returns. Rules on overtime and night-shift pay are your management's and payroll's decisions.
Certificates are stored against the employee, and alerts can be set ahead of a renewal date and sent to the owner. You confirm which certificates matter and who owns each. What a certificate must cover, and who may work where, is decided by your safety and operations teams.
Yes. We specify the fields, load your data and list the gaps and duplicates found, such as missing dates or the same person at two sites. You decide which source is right and review a sample before go-live. A parallel run for one cycle is the safest check.
The number of employees and contractor records, how many sites and shift patterns, which modules you need, how many source files need consolidating, and how much set-up help you want. We state no prices here. A written quote follows a short conversation and a demonstration against your sites.
