What is employee information management?

Employee information management is the process by which a business collects, stores, updates, protects and retrieves the data and documents it holds about each employee, from the joining record to the final settlement. It covers which fields exist, where files sit, who may change them, which documents expire, and how employees confirm their own details are correct.

When businesses ask us for this

  • You ask for a list of employees with designation and date of joining, and the versions that come back from HR, payroll and the site do not match.
  • An employee's salary went to a closed bank account because the change was mentioned to a manager and never reached payroll.

What the work covers

GullyHR reviews where your employee data currently lives, designs the record structure your business will keep, and implements it with the people who will maintain it. We write the field definitions, file index, checklists and access rules, correct the existing records against source documents, and configure the employee master in GullyHR software or in the system you already run. You collect the missing documents from employees, confirm the corrected values and approve who may see what. This is a defined implementation project with a handover, not an outsourced records service.

We agree the field list your business actually uses — identification, employment, statutory, contact, bank and dependants — then fix the formats, the mandatory markers, the employee code series and the one role permitted to change each field.

An employee file follows the same index for everyone.

Every employee file, digital or physical, follows the same section index: joining papers, appointment and revision letters, statutory forms, identity and qualification proofs, with medical and disciplinary records held apart from the rest.

Joining documents are collected against a checklist, not chased months later.

A joining checklist written separately for permanent, trainee, apprentice and contract employment, with a file naming convention, the storage location for each document, and a record of which originals were sighted and by whom.

Documents that expire are tracked before they lapse.

Probation end dates, contract and retainer end dates, identity and licence validity, medical fitness certificates and nomination forms go into a register carrying a renewal owner and a reminder lead time for each type.

Changes to employee data come through one route with evidence.

Address, bank account, marital status, dependants, qualification and emergency contact changes arrive through one request that carries supporting evidence, an approver, an effective date and a trace of the value that changed.

Personal and sensitive records are visible only to those entitled to see them.

We set out who may view, edit, export and share each category of employee data, and how enquiries from banks, insurers or verification agencies are answered and recorded rather than handled informally.

Employees confirm their own details and acknowledge what they receive.

Employees check and confirm their own record at joining and at an agreed interval, and sign for policies, handbooks, assets and nominations, with each acknowledgement dated and filed against the person.

How it runs

  1. Record inventory

    We list every place employee data currently sits: payroll sheets, joining files, the attendance master, insurance and statutory returns, and the physical almirah. Each source is compared against the others and the conflicts are written down name by name.

  2. Field definition

    We agree the employee master itself — the fields your business genuinely uses, their formats, which are mandatory at joining, the employee code series, and which single role owns and may change each field.

  3. File index design

    We set the standard section list for an employee file and decide what is held separately. Medical papers, disciplinary correspondence and salary letters do not sit alongside joining documents.

  4. Reconciliation and gap marking

    Each record is checked against the source document behind it. Values are corrected, duplicate and inactive entries removed, and every missing document listed against the person it belongs to.

  5. Document recovery drive

    Your HR team runs a pending-document collection using the checklist and a stated close date. We supply the request formats, the escalation note and a tracker so you can see what is still open.

  6. Update route and access rules

    The change-request form, the approver for each field, the effective-date rule and the audit trail are agreed, along with the access matrix that decides who may see and export which category of data.

  7. Configuration and load

    Fields, document types, roles and expiry reminders are configured, the corrected master is loaded, and you check a sample of records against the originals before the record goes live.

  8. Training, acknowledgement and review

    HR, managers and employees are trained on the route. Employees confirm their own record. We review after a working cycle and correct wherever the route is being bypassed.
