Client Service Associate job description

A Client Service Associate supports customers of a bank, wealth firm or insurer with requests, transactions and queries, and works with relationship managers and operations to resolve each case.

An HR consultant and business owner reviewing employee records together

Why the role exists

The Client Service Associate works in a branch, wealth desk or service centre and reports to a service or relationship head. The role takes service requests by phone, email and in person, processes what is in its authority and sends the rest to the right team. It keeps clients informed and relationship managers free to advise.

What the person does

  • Receive client requests by phone, email, WhatsApp and branch visits, log each in the service system and give a clear turnaround time.
  • Process routine requests such as statements, address updates, nominee changes, fund switches and policy documents after verifying the client.
  • Verify the client's identity and authority using the checks set by the firm before sharing account details or acting on an instruction.
  • Coordinate with operations, the back office and product teams to complete requests that need action outside the service desk.
  • Support relationship managers by preparing meeting packs, account summaries and reminders for renewals, maturities and documents due.
  • Follow up open requests daily and update clients proactively when a delay occurs, with the reason and a new date.
  • Record complaints and feedback with full facts and pass them to the service head for resolution within the firm's timelines.
  • Maintain accurate client records, mark consent for communication correctly and keep sensitive data inside approved systems.

Skills and tools

  • Client communication by phone, email and WhatsApp in a courteous, professional tone
  • Service request tracking in a CRM or ticketing tool, with accurate notes
  • Knowledge of banking, investment or insurance service processes, such as KYC updates and nominee changes
  • Identity verification discipline and care with confidential client information
  • Excel and document handling for statements, summaries and meeting packs
  • Coordination with operations teams to close requests on time
  • Handling upset or senior clients calmly and escalating when needed
  • Attention to detail in names, account numbers and dates

Education and experience

Preferred, never a bar: equivalent experience counts.

  • Graduate in commerce, management or any stream preferred, or equivalent experience in banking, wealth, insurance or customer service.
  • Experience in a branch service desk, call centre or private banking service team is preferred.
  • Any certification needed for service or sales roles depends on the employer and facts; confirm it with the employer's own adviser.
  • Clear spoken and written English plus a local language are useful for the client base.

How the work is judged

  • Turnaround time on client requests, as set by the company
  • Accuracy of processed requests, judged by errors and rework found in checks
  • Client satisfaction from feedback and complaint trends
  • Quality of support to relationship managers, including readiness of meeting packs
  • Adherence to identity checks, privacy rules and record keeping at audit

Where the role can lead

  • Senior Client Service Associate or Service Lead
  • Relationship Manager role after building product knowledge and client trust
  • Operations, client onboarding or service quality roles in a bank, wealth or insurance firm

Interview questions to ask

Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.

  1. A high net worth client calls upset about a delayed statement. How do you handle the call?
  2. Someone claiming to be a client asks for a change of mobile number. What do you do?
  3. How do you track fifteen open requests so none goes past its date?
  4. Tell us about a mistake you made on a client request and how you fixed it.
  5. A relationship manager asks you to bypass a check because the client is important. What do you say?
  6. Describe how you would explain a delay to a client without blaming another team.

Hiring tips for this role

  • Role play an upset client call. Look for calm, accuracy and clarity on next steps rather than quick apologies.
  • Test attention to detail with a short exercise on names, numbers and dates. Small errors in client data cause large problems.
  • Check understanding of confidentiality. Ask what the candidate would do if a family member of the client calls for details.
  • Make the line between service and advice clear. Associates should not give investment or product advice unless the role allows it.
