Branch Operations Executive job description

A Branch Operations Executive in banking handles account opening, transaction checks, cash and ledger reconciliation and day-end closing, keeping the branch accurate and audit-ready.

An HR consultant and business owner reviewing employee records together

Why the role exists

The Branch Operations Executive works in a bank or NBFC branch, or a back-office hub serving several branches, and reports to the branch operations manager. The role supports tellers, relationship managers and customers by processing instructions correctly and reconciling every day. It keeps errors small and records clean.

What the person does

  • Process account opening, nomination changes, standing instructions and cheque or instrument requests after checking documents and signatures.
  • Verify and authorise transactions entered by tellers or clerks within the delegated limits and flag exceptions to the manager.
  • Reconcile cash, vouchers, clearing items and inter-branch or suspense entries each day and trace every difference to its cause.
  • Complete day-end closing, balance the books in the core banking system and prepare the control reports for the branch manager.
  • Handle customer service requests such as address changes, debit card issues and statement requests and record each in the system.
  • Maintain the safe keys log, stationery stock, vault entries and document custody registers as the branch process requires.
  • Prepare data and files for internal and statutory audit visits and answer auditor queries with the right records.
  • Raise operational risk incidents, such as wrong postings or lost instruments, to the manager at once and follow the correction steps.

Skills and tools

  • Core banking system use for account opening, posting and authorisation
  • Daily reconciliation of cash, clearing, suspense and inter-branch accounts
  • Checking KYC documents, signatures and mandates carefully
  • Excel for tallying entries, tracing differences and building control reports
  • Understanding of operational risk and the maker-checker principle
  • Orderly record keeping and document custody discipline
  • Clear and courteous handling of customer queries at the counter and over the phone
  • Working to cut-off times for clearing, remittances and day-end processing

Education and experience

Preferred, never a bar: equivalent experience counts.

  • Graduate in commerce or any stream preferred, or equivalent experience in banking operations or accounts.
  • Experience at a bank branch, NBFC operations desk or back-office reconciliation team is preferred.
  • Any banking certification depends on the employer's policy and is best confirmed with the employer's own adviser.
  • Accuracy, honesty and comfort with repetitive control tasks matter more than a specific degree.

How the work is judged

  • Accuracy of postings and reconciliation, judged by error counts and open differences, as set by the company
  • Timely day-end closing and delivery of control reports to the branch manager
  • Audit and inspection observations related to the executive's records and processes
  • Turnaround on customer service requests and number of repeat complaints
  • Quality of incident reporting and follow-through on corrections

Where the role can lead

  • Senior Branch Operations Executive or Operations Manager at a branch
  • Cluster operations, central processing or audit support roles
  • Compliance, risk control or credit operations roles, based on training and interest

Interview questions to ask

Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.

  1. How do you trace a difference of a small amount at day end that does not match any entry?
  2. A senior asks you to authorise a transaction before you check a document. What do you do?
  3. Describe how you handled a wrong posting that was found next morning.
  4. A customer disputes a debit and the record is unclear. How do you proceed?
  5. How do you prepare a branch for an audit visit at short notice?
  6. Tell us about a process you improved in a routine operations task.

Hiring tips for this role

  • Give a reconciliation exercise with a small mismatch and see how the candidate traces it. Method matters more than speed.
  • Look for integrity signals. Operations staff handle cash and records, so check references and past conduct as your own process allows.
  • Match system experience. Candidates from a different core banking platform need time, so ask which systems they have used.
  • Check comfort with early arrival and late closings on month end and quarter end when reconciliation load peaks.

Questions about hiring a branch operations executive

The person processes account and service requests, authorises transactions within limits, reconciles daily entries and closes the day. The role keeps the branch accurate and ready for audit.
