Claims Processing Executive job description
A Claims Processing Executive in insurance registers claims, checks documents against policy terms and moves each case to settlement or rejection, keeping customers and hospitals informed.

Why the role exists
The Claims Processing Executive works in an insurer's or third party administrator's claims team and reports to a claims team leader. The role handles health, motor or life claims coming from customers, hospitals and garages. Prompt and accurate processing builds trust when customers need it most.
What the person does
- Register new claims in the system, confirm the policy is active and check the details of the insured, the event and the claimed amount.
- Review claim forms, discharge summaries, bills, estimates or death documents against the checklist for the product.
- Compare the claim with policy terms, waiting periods, exclusions and sub-limits and note which clauses apply.
- Handle cashless authorisation requests from hospitals and garages within the time set by the team and record each response.
- Raise requests for missing documents to customers or providers and follow them up until the file can move on.
- Refer doubtful, high value or unusual cases to a senior or the investigation team with a short note of the concern.
- Prepare settlement or rejection notes in clear language and make sure customers receive timely, polite updates on the status.
- Answer queries from customers, agents and branches on claim status and record repeated complaints for the team leader.
Skills and tools
- Reading health, motor or life policy wordings and applying terms to real claims
- Checking hospital bills, discharge summaries and garage estimates for consistency
- Knowledge of cashless and reimbursement processes used by Indian insurers and TPAs
- Claims systems, workflow tools and email handling with accurate notes on every file
- Clear and kind communication with distressed customers and busy hospital desks
- Spotting signs of fraud, inflated bills or repeated patterns and escalating them properly
- Basic medical terms or motor damage terms depending on the line of business
- Time management when many cases arrive together after monsoon, festive travel or a local event
Education and experience
Preferred, never a bar: equivalent experience counts.
- Graduate in any stream preferred, or equivalent experience in insurance, TPA, hospital billing or claims operations.
- Prior experience in health, motor or life claims processing is preferred, depending on the line you are hiring for.
- Any claims-related certification depends on the employer and the facts; confirm it with the employer's own adviser.
- Typing accuracy, patience and careful document reading matter more than a specific degree.
How the work is judged
- Accuracy of claim decisions, judged by quality audits and reopened cases, as set by the company
- Turnaround time for registration, authorisation and settlement within the insurer's service standards
- Completeness of file notes and documentation at audit
- Customer and provider feedback on communication, including repeat contacts and complaints
- Timely escalation of doubtful cases and contribution to fraud and leakage control
Where the role can lead
- Senior Claims Executive handling complex or high value claims
- Claims Team Leader or Claims Manager leading a processing team
- Roles in claims audit, fraud control, provider network management or customer grievance handling
Interview questions to ask
Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.
- How do you handle a claim where the discharge summary does not match the bill?
- A hospital asks for urgent cashless approval but one document is missing. What do you do?
- A customer is angry about a rejection. How do you explain it while staying within policy terms?
- Tell us about a case you flagged as suspicious. What made you notice it?
- How do you prioritise thirty open claims when five are urgent?
- Describe a time you found a mistake in your own file after it had moved on.
Hiring tips for this role
- Test with a sample claim file and a policy wording. Ask the candidate to list issues and write the status message to the customer.
- Check tone as well as accuracy. Claims staff deal with stress, and a cold reply to a grieving family becomes a complaint.
- Hire for the line you need. Health, motor and life claims have different documents and rules, and experience does not transfer fully.
- Plan for peak load after floods, festive travel and epidemics. Ask candidates how they coped in earlier surges.
Questions about hiring a claims processing executive
The person registers claims, checks documents against the policy, authorises or processes payment and keeps customers informed. Complex or doubtful cases go to a senior or an investigation team.
It helps but is not always required. Many insurers train graduates on medical terms and claims rules. Hospital billing experience is often a strong base for this role.
Processing handles routine documents and decisions. Investigation looks into suspicious or high value cases through checks, visits and interviews. Define the boundary in the job description.
