HR documentation process for Textile wholesalers: offer letters, role notes and advance records
In a trade run on trust, the paper is thin. Offer letters, advance records and role notes give both sides a shared memory, and protect the family relationships behind the shop.

Share your requirementsWhy HR documentation process matters in textile wholesalers
Many textile shops have almost no HR paper. A person joins on a word, gets paid in cash or by transfer, takes advances and leaves, and what was agreed rests on memory. When memory differs, the dispute is between people who know each other, and it is painful.
A small set of papers solves most of it. An appointment letter says role, pay and hours. A role note says what the person does. An advance record lists date, amount and recovery. A leaving note records final settlement and handover of keys, books and samples. None is long. The trick is to keep them in one place and fill them the same day. Where the law or licences are involved, confirm the correct records with a qualified professional.
How to set it up
1. List the papers you need
Appointment letter, role note, advance record, leave record, handover note and a warning or counselling note. One page each.
2. Draft plain-language versions
Write them in the language staff speak, in short sentences. Read each aloud to a trainee to see if it makes sense.
3. Issue letters to current staff
Hand out letters in a single week, one by one, with a conversation. Present them as a record of what is already agreed, not a new test.
4. Keep one file per person
Store all papers for a person together, with the date each was added. A locked cupboard or a single folder works. See the employee information management service for a tidy structure.
5. Review once a year
Check the files for missing items, update pay and roles and remove papers no longer needed.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count how many staff have a letter that states pay and role.
- Check three advance entries against what the person remembers.
- Find out where handover notes for keys, samples and books are kept when a person leaves.
- Ask two staff whether they know their leave balance.

Questions owners ask
Usually not, if it is introduced as a record of what you already agreed. Most staff like clarity about pay and advances. Explain the aim and keep forms short.
Yes, a short role and pay note is wise for relatives too. It protects them and the business when roles or ownership change. Keep tone respectful and treat it as family planning.
The period depends on the type of record and the rules that apply to your business, so confirm with a qualified professional. In the meantime, keep each person's file whole and do not throw papers away.
