What is hr documentation process?

The HR documentation process is the work of building a complete, current and usable set of HR documents: a policy manual, an employee handbook, standard operating procedures, a job-description library, employment letters, forms and checklists, manager toolkits and communication templates. It includes deciding who owns each document, where it is stored, and how it is kept up to date as rules change.

How it runs

  1. Inventory existing documents

    We collect every policy, letter template, form, handbook and SOP currently in use, wherever it lives, and record what exists, what is missing and where versions conflict.

  2. Assess gaps and contradictions

    Each document is checked against current practice and against other documents that touch the same subject, and a prioritised list of what to write, fix or retire is agreed with you.

  3. Confirm policy positions with you

    Where a policy involves a genuine choice, such as leave entitlement or a disciplinary escalation route, we present the options and their trade-offs, and you confirm the position before drafting begins.

  4. Draft the documents

    Policies, the handbook, SOPs, job descriptions, letters, forms and toolkits are drafted in plain, consistent language, cross-referenced so they do not contradict one another.

  5. Review and finalise

    Drafts are reviewed with you and, where relevant, with department heads who will use them, revised, and finalised with a version number and effective date.

  6. Organise into a version-controlled library

    All documents are set up in the GullyHR software or your existing document system, with owners named and a review calendar attached to each one.

  7. Brief managers and roll out

    Managers and HR are walked through the new document set, particularly the toolkits and SOPs they will use directly, and the handbook is communicated to employees.
