One Clean Staff Record Across Every Outlet and Shift

Attendance, leave and records are where mistakes pile up when people work rotating shifts across many stores. We help you design the staff record, the attendance rules and the correction and leave routines that let a store manager keep the data accurate in minutes, and that give HR one version of the truth. We then set them up in your own system or on the GullyHR platform.

The starting point

Can You Say Who Worked Which Store, on Any Given Day?

In many chains, attendance sits in a register at the store, a biometric device at the next, and a messaging group at a third. HR reconciles these at month-end, and the store manager is asked about days nobody can quite remember.

We help you replace these workarounds with routines a store can keep up on a busy day.

You may be experiencing:

  • Attendance kept in different places across outlets, with the final version known only at payroll time.
  • Missed punches, late arrivals and early exits corrected by phone or chat, with no recorded reason.
  • Late and early marking rules that vary by store and by manager.
  • Weekly offs, compensatory offs and shift swaps that live in the manager's notebook.
  • Part-time, trainee, promoter, contract and franchise staff kept on separate lists.
  • Transfers between stores that leave the old record behind and start a new one.
  • Leave balances staff must ask HR about, and approvals that wait for a manager who is on the floor.
  • Appointment letters, experience letters and identity cards prepared from scratch each time.

What we can help with

Our Employee Administration Services for Retail

  • Staff Record Structure

Decide what each person's record holds: identity, store, role, reporting person, employment type, shift pattern, contact and emergency details and agreements. Mark which fields are mandatory and who may change them.

  • Attendance Capture by Store Type

Set how attendance is marked in each format: biometric, mobile app or register. Decide how a shift that crosses closing time is counted and what counts as late, short or absent.

  • Rota-linked Attendance

Link the published roster to attendance so differences show up at once, and agree how weekly offs, swaps and relief shifts are recorded against the roster that was in force.

  • Regularisation and Corrections

Define a single route for missed punches and wrong shifts: who raises it, who approves, the time limit before the cut-off, and how the reason is stored.

  • Leave Types, Balances and Approvals

Settle leave types and accrual, who approves for each role, and how store cover is considered before approving leave in peak weeks. Give staff a view of their own balances.

  • Transfers, Promotions and Movements

Make store transfers, role changes and area moves single records with a start date, a reason and an approver, so history, leave and tenure travel with the person.

  • Part-time, Contract and Franchise Staff Records

Bring part-timers, trainees, promoters, agency and partner staff into the same record structure with their engagement type, so headcount and cover are always counted one way.

  • Letters, Identity Cards and Assets

Prepare controlled formats for appointment, transfer and experience letters, and a request route for uniforms, name badges, lockers and keys, with issue and return recorded.

The deliverables

What You Receive

Depending on the agreed scope, you can expect:

  • A staff record structure with mandatory fields and owners.
  • Attendance and leave rules written for rotating retail shifts.
  • A regularisation process with approvers and cut-off times.
  • A transfer and movement process.
  • A record category for part-time, contract and franchise staff.
  • Letter formats under version control.
  • An asset and identity-card request route.
  • Configuration of records, approvals, reminders and employee self-service on your system or on GullyHR.

Step by step

How We Work

  1. Collect What You Use Now

We gather registers, device exports, roster files and employee lists from a few stores and see which of them actually gets treated as correct at month-end.

  2. Agree the Record and the Rules

With HR, area managers and a few store managers, we settle what the record contains, how attendance and leave are counted and who approves what.

  3. Clean and Load the Data

We help organise existing staff data into the agreed structure, listing the gaps, such as missing joining dates or duplicate entries, for the stores to fill.

  4. Trial in Two or Three Stores

We run the routine in a few stores, in different formats, and note what slows the manager down at the counter.

  5. Hand Over and Review

We train the people who will run it, then review against the baseline taken at the start.

The difference

Spend Less Time Chasing Attendance and Records

Well-kept administration can help your chain:

We do not promise outcomes. We record a baseline before work starts, covering how many attendance corrections arrive after the cut-off, how long a routine record request takes and how many staff appear in more than one list, and report against it, so you can see what changed and what did not.

  • See one attendance record for every store, by the same rules.
  • Close attendance on a set date without reconstructing days.
  • Keep the full history of a person across transfers.
  • Let staff check their own leave and request corrections.
  • Count part-time and franchise staff on the same footing.
  • Issue letters from controlled formats, with a record of who received what.

Find your fit

Who This Service Is For

  • Chains Using Registers or Spreadsheets

Move to one structured record without disturbing trade.

  • Retailers with Mixed Attendance Devices

Bring biometric, app and manual attendance into a single process.

  • Small Chains and Owner-run Stores

Keep records proportionate where one person handles HR, payroll and stores.

  • Franchise and Dealership Networks

Hold records of owned and partner outlets in one structure with separate approvers.

  • Seasonal Retailers

Onboard and release large numbers of temporary staff without losing track of who is where.

How it usually shows up in retail

Retail chains often hold employee information in several places: an attendance register at the store, a roster on a notice board or chat group, a leave diary kept by the manager, and a head office spreadsheet that is updated at month end. Biometric or app-based attendance exists in some stores and not in others. Weekly offs rotate, so a person may work on a day other staff are off, and late or early marking is applied differently by different managers. Missed punches are fixed by phone at the end of the month. Part-timers, relief staff and staff who move between stores make the record harder to follow. Letters, ID cards and staff discount cards are issued store by store. When a person transfers, their history may not travel with them.

Common challenges

Where it goes wrong in retail

  • Attendance sits in several places

Register, roster, chat group and spreadsheet rarely agree with one another.

  • Corrections arrive at month end

Missed punches and swaps are settled by phone just before payroll closes.

  • Late and early rules vary

Each store manager applies grace and deduction differently.

  • Transfers lose history

A person moving stores arrives with no record of leave, warnings or training.

A better process

What a working version looks like

  1. 01

    Pick one source for attendance

Biometric or app marking in every store, feeding a single record. See the attendance and leave process.

  2. 02

Write the shift and weekly off rules

Grace time, late marks, swaps, rotation and compensatory offs, the same in every store.

  3. 03

    Regularise weekly

Missed punches and corrections cleared each week by the store manager, with an area manager sign-off.

  4. 04

    Keep the leave balance visible

Associates and managers can see balances and pending requests without asking head office.

  5. 05

    Hold one employee file

Joining documents, letters, transfers and training under one record per person, in line with employee information management.

What to check this week

  • Compare the attendance register and the roster for one store and one week.
  • Count missed-punch corrections made in the final days of last month.
  • Ask two store managers how they treat a ten-minute late arrival.
  • Check a transferred employee's record for gaps.
  • Find how many stores still mark attendance on paper.

Confirm with a qualified professional. What applies depends on your establishment, your state and your sector, and it changes. This page describes a practice; it does not state a legal position.

At minimum: identity, store and role, employment type, reporting person, shift pattern, joining date, contact and emergency details and the agreements signed. We help you decide the full list and which fields only HR may change.

If answering a simple question about a person, a shift or a leave balance means several calls, the administration needs a structure before it needs new software.

The general method — what employee administration covers, the questions it answers and what an engagement produces — is the same whatever the sector, and is set out on the employee information management page. What is above is the part that differs for retail.

To run this in a system rather than on paper, see core employee management.

Where to start

Most engagements begin with a review of how this runs in your business today, then a written process and the sequence to implement it.
