Employee information management for Goat farms: a simple register for farmhands

A farm with eight workers often has no list of who they are, what they earn or how to reach their family. A plain register fixes that without a computer.

Why employee information management matters in goat farms

When a shepherd falls ill or a farmhand does not turn up, the owner searches for a number written on a wall. Pay terms, advances and dates of joining are in memory or in a notebook that only one person can read. Months later, nobody can say when a worker joined or what was agreed.

A register solves this at low cost. One page per worker, held in a folder or on a phone, holds the facts you need: name, role, join date, pay terms, contact and family contact, training given and advances. Keep it private, up to date and known to a second person.

How to set it up

  1. 1. Decide what you need to know

Name, role, joining date, pay terms, phone, a family contact, address, training and advances. Do not collect what you will not use.

  2. 2. Make a one-page sheet

Use the same layout for every worker and fill it with them present, so it is accurate.

  3. 3. Choose a safe place

A locked drawer or a protected phone folder. Name who may see it, normally the owner and one manager.

  4. 4. Update at fixed times

Review sheets at the start of each season and whenever pay, role or contact changes.

  5. 5. Link to training and advances

Add handling training and advance records so they are in one place. See the HR documentation process for forms.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Count workers without a recorded family contact.
  • Check whether pay terms are written for each person.
  • See who besides the owner could find a worker's details.
  • Check when each sheet was last updated.

Questions owners ask

It can be, if the phone is locked, backed up and only trusted people use it. Avoid sharing sheets in open group chats. Take advice from a qualified professional on data rules.
