Train From Need and Record It So It Can Be Shown

In this sector a training that cannot be shown did not happen, and a training that happened but changed nothing is a cost. We help you build the skill matrix, work out who needs what, plan sessions around production and laboratory schedules, assess understanding and judge whether the training worked. We then help you set up the records and reminders in your system or on the GullyHR platform.

The starting point

Is Your Training Driven by Need or by the Calendar?

Revised procedures, new equipment, deviations and new joiners all create training needs, and each arrives at a time when the line is busy. Without a system, sessions are held when a trainer is free, attendance is signed but understanding is not tested, and a retraining that was due falls out of sight.

We help you plan training from the need, test whether it landed and keep a record that can be retrieved.

You may be experiencing:

  • A procedure revised and issued, with the retraining of those affected left to chance.
  • Attendance sheets signed for sessions that were read aloud in a few minutes at shift change.
  • No up-to-date list of which procedures each person is trained on.
  • Deviations that point to a skill gap, with no link to the next training plan.
  • Training dates set around the trainer's diary, pulling operators off a running line.
  • Trainers whose own qualification is not recorded.
  • Representatives trained once on launch, with product knowledge left to fade.

What we can help with

Our Learning and Development Services for Pharma and Life Sciences

  • Skill and Competency Matrix

List the procedures, techniques, equipment and behaviours each role must be trained and assessed on, by area and level. The matrix becomes the reference for hiring, authorisation and planning.

  • Training Needs Analysis

Collect needs from procedure revisions, new equipment, deviations and corrective actions, audit observations, new joiners and promotions, and consolidate them into one plan owned by a named person.

  • Training Calendar Around Production

Schedule sessions against batch plans, shifts and study timelines so that people are released without stopping a line, and so that night shifts are not left out.

  • Procedure Retraining Workflow

Define how a revision triggers retraining: who is affected, who trains, how understanding is checked and when the new version may be used. Set up the steps as a workflow with reminders.

  • Trainer Selection and Records

Decide who may train on what, record the basis for that decision and build a short routine for keeping trainers current.

  • Assessment and Authorisation Link

Choose how understanding is assessed, whether by a written check, an oral check or a practical observation, and link the result to the authorisation that allows independent work.

  • Field-force Product and Skills Training

Plan product, therapy, selling-skills and conduct training for representatives and managers, with refreshers and a simple check of knowledge in the field.

  • Effectiveness and Records Review

Look at whether training changed practice, using signals such as repeat deviations, documentation errors, assessment results and field call quality. Check that each person's training file can be produced on request.

Working together

Ways to Work with Us

  • Matrix and Needs Analysis

A skill matrix and a consolidated needs analysis for the roles that matter most.

  • Training System Set-up

Calendar, retraining workflow, assessment formats and records configured in your system or on GullyHR.

  • Field-force Capability Programme

A plan for product, skills and conduct training across territories.

  • Training Record Review

A check of how complete and retrievable your training files are, with a plan to close gaps.

These can be taken separately or together. Scope, responsibilities and commercial terms are agreed before an engagement begins, and content on your products and procedures remains yours.

The deliverables

What You Receive

Your engagement can include some or all of the following:

  • A skill and competency matrix by area and role level.
  • A training needs analysis and an owned annual plan.
  • A training calendar built around production and study schedules.
  • A retraining workflow triggered by procedure revisions.
  • A trainer register with the basis for each approval.
  • Assessment formats linked to authorisations.
  • A field-force training plan with refreshers.
  • Measures to judge whether training worked, and a records review.

Step by step

How We Work

  1. See How Training Runs Now

We look at the matrices, attendance sheets, calendars and files you keep, and speak with trainers, supervisors and the people being trained.

  2. Build the Matrix and the Need

With production, quality and sales leaders we settle which skills each role requires and list who is short of what.

  3. Design the Plan and Workflow

We prepare the calendar, retraining steps and assessment formats, tested against the real shift pattern.

  4. Set Up Records and Reminders

We configure the records, due-date reminders and reports, so that overdue items are visible to the people who can act.

  5. Check What Changed

Before work starts we note where you stand. After a cycle we review both completion and effect against that baseline.

The difference

Know Who Is Trained, on What, and Whether It Worked

A planned training system helps your business:

We do not promise outcomes. We record a baseline before work starts, covering overdue training items, the time taken to complete retraining after a revision and how long a training file takes to produce, and report against it, so you can see what changed and what did not.

  • See which procedures each person is trained on.
  • Trigger retraining when a procedure changes.
  • Hold sessions without halting a running line.
  • Assess understanding, not only attendance.
  • Link training to deviations and corrective actions.
  • Retrieve a training file without assembling it by hand.

Find your fit

How it usually shows up in pharmaceuticals and life sciences

Learning and development in pharma and life sciences is dominated by procedure training. Each new or revised SOP is issued, read and acknowledged, and attendance is recorded on a sheet. What is often missing is an assessment of understanding, a link between the role and the procedures it needs, and a view of who is overdue for retraining. Training files are kept by department, in different formats, and are hard to pull together quickly. On-the-job training is delivered by senior operators or analysts who are not always qualified as trainers. Beyond compliance training, development gets little attention: technical skills, leadership for supervisors and soft skills for field managers are filled in when time permits. Effectiveness is judged by attendance, not by change in work.

Common challenges

Where it goes wrong in pharmaceuticals and life sciences

  • Reading is counted as training

Acknowledgement of an SOP is recorded, but whether the person can do the task is not checked.

  • No role-to-procedure link

Nobody can say which procedures a role needs, so gaps and overdue retraining stay hidden.

  • Trainers are not qualified

On-the-job training is given by whoever is senior, with no assessment of how well they teach.

  • Development stops at compliance

Supervisors and field managers get little beyond procedures, so progression stalls.

A better process

What a working version looks like

  1. 01

    Build a role-wise training matrix

For each role, the procedures, skills and assessments needed, and the retraining interval. The learning and development process builds this.

  2. 02

    Assess, not just record

A short check, practical or written, before a person is marked as trained.

  3. 03

    Qualify the trainers

A defined standard for who may train, and a short session on how to do it.

  4. 04

Keep one training file per person

Held in one structure and reviewable by department, with overdue items visible. See learning software.

  5. 05

    Plan beyond compliance

Technical depth, supervisor skills and field-manager coaching, in a calendar with owners.

What to check this week

  • Pull one operator's training file and see how long it takes.
  • Check whether recent SOP revisions led to an assessment or only a signature.
  • Ask who may train on the line and how they were chosen.
  • List overdue retraining by department.
  • Look at what development exists for supervisors and field managers.

Confirm with a qualified professional. What applies depends on your establishment, your state and your sector, and it changes. This page describes a practice; it does not state a legal position.

Training Records and Competency Evidence

In a regulated setting, the record is part of the process.

Training that happened but was not recorded, with an assessment and a date, is difficult to evidence later. The discipline is the deliverable.

  • Role-wise training matrix
  • Induction training
  • SOP training and acknowledgement
  • On-the-job training records
  • Assessment and qualification
  • Re-training triggers
  • Re-assessment cycle
  • Trainer qualification
  • Training file completeness
  • Records retrieval for audit

Qualification and Job Competency

Who is qualified to perform which operation.

What this covers
  • Job-role competency definition
  • Educational and experience requirements
  • Competency assessment
  • Authorisation to perform
  • Competency matrix by department
  • Gap identification
  • Development plans
  • Periodic re-qualification

Questions on this, in pharmaceuticals and life sciences

That depends on your quality system. What matters is that each record has one named owner, and that HR and quality agree how a joining, a transfer or a leaving date updates the training file. We help you write that down.

Plan Training From Need and Keep a Record That Stands Up

If a revised procedure leaves you asking who has been retrained, the system behind training needs attention before the next session is scheduled.
