Employee information management for Social Media Agencies: records of who handles which account and holds what access
In a social agency the record of staff matters for more than payroll. It shows who handles each client, who has access and what must be closed when someone leaves.

Share your requirementsWhy employee information management matters in social media agencies
Social agencies often keep staff details in a spreadsheet and account details in chat. When a content writer moves from one client to another, nobody updates who has access. When a moderator leaves, her logins stay active for weeks. A client asks who was handling their page in March and nobody can say.
A good record joins the two. For each person: role, start date, accounts handled, access held, equipment issued, agreements signed and emergency contacts. A short joining and exit checklist keeps it current. It does not need to be elaborate, but it must be in one place, owned by a named person and checked each month.
How to set it up
1. Decide what to record
Core details, role and manager, accounts handled, access granted, equipment and signed policies. Leave out what you do not need.
2. Set up one record per person
A single place with a fixed layout, owned by one person. Move scattered details into it.
3. Update at every change
When someone changes client, role or manager, the record changes the same week. Make this part of the handover.
4. Run an exit checklist
On the last day: access removed, equipment returned, accounts reassigned, knowledge handed over. Sign it off with the manager.
5. Check monthly
A short check of access against the record. Link with HR documentation for storage and privacy.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Choose one client and list who has had access in the last year.
- Find a leaver and check whether every login was closed.
- Count how many staff records are out of date.
- Ask who owns the staff record today.

Questions owners ask
Because staff hold client access and speak in a client's voice. Knowing who handles what, and closing access on exit, protects the client and the agency.
Limit access to the people who need them, store them safely and keep only what is needed. Confirm data protection duties with a qualified professional.
A named person in HR or operations, with managers responsible for telling them about changes. Without an owner, records drift out of date in a few months.
