Attendance, shift and leave process for Healthcare Franchise Networks: rosters, relievers and branch cover
Clinic and lab hours are fixed by the signboard, not by who turned up. When a collector or nurse is absent, the branch needs a rule for cover that does not depend on one manager's phone.

Most branches keep attendance in a register or a messaging group, and leave is approved by the branch manager on the day. A lab opens at seven for fasting samples, a pharmacy runs till late, and a specialist visits on set days. When two people are off together, the branch either shuts a counter or pulls someone from another outlet without a record.
A simple branch roster, a leave rule that limits how many may be off together, and a short list of relievers who know more than one outlet turn these calls into routine. Head office does not need to approve each day, but it does need to see patterns by branch.
How to set it up
1. Build a weekly roster per branch
Show opening hours, specialist visit days and early sample hours first, then fill names. Publish it a week ahead so staff can plan travel and family time.
2. Set a limit on staff off together
For each branch size, agree how many people in each role may be on leave on the same day. The branch manager approves within the limit and the cluster manager beyond it.
3. Name relievers for each cluster
Choose a few staff who know the work of nearby branches and agree travel and timing in advance. The terms are written once, not argued each time.
4. Record attendance in one format
Whether by register, phone or biometric, use the same fields everywhere: name, branch, shift, in and out. Franchisee branches send the same format monthly.
5. Review absences by branch
Each month look at late arrivals, sudden leave and weekday patterns by branch. Talk to managers where a branch stands apart from the rest.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count days last month when a branch ran short at opening and how it was covered.
- Check whether the leave limit is written anywhere or is only the manager's habit.
- See how many relievers have actually worked at more than one outlet.
- Compare attendance formats from three branches and note what is missing.

Questions owners ask
The branch manager, within a written limit on staff off together. Anything outside the limit goes to the cluster manager, so a manager is not forced to choose between staff and patients.
Put visit days on the roster first and add front desk strength for those hours. Check the waiting complaints after a month and adjust.
Only if the franchise agreement and the owner allow it. Confirm with a qualified professional, and agree pay and travel in writing before anyone is moved.
