HR reporting and analytics for Healthcare Franchise Networks: one page of workforce numbers by outlet
Ask a network how many nurses, collectors and front desk staff it has today, and the answer takes a week of calls. Branch files do not add up until someone makes them.

Each branch keeps its own list in its own style. One records full names with designations, another uses nicknames, a third counts a visiting consultant as staff. Head office then assembles the picture by phone, and by the time it is done a few people have joined and left.
A monthly page with a few agreed numbers per branch is enough: headcount by role, vacancies open, joiners, leavers and absence. The aim is to spot a branch that loses people faster than the rest, or runs short at opening, before a franchisee raises it as a complaint.
How to set it up
1. Agree five numbers
Headcount by role, open vacancies, joiners, leavers and days of absence per branch. Write the meaning of each in a line so every branch counts the same way.
2. Create one template
A single sheet or form that company and franchisee branches fill by a fixed date each month, with names and roles, not totals alone.
3. Check before you compile
The cluster manager reads the branch sheets for gaps, such as a role with no staff or a leaver not removed. Fix them with the branch before the page is built.
4. Build the one-page view
Show branches in a row with the five numbers and a note on any that differ sharply from the others. Keep it short enough to read in five minutes.
5. Act on two things each month
Pick the two branches or roles that stand out and ask why. Record the answer and the action, so the page leads to decisions.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask three branches to count current staff by role and see whether the totals match head office.
- Check whether visiting consultants and trainees are counted the same way everywhere.
- Note how long it takes to collect headcount for the full network.
- Look at leavers by branch over six months and see whether any outlet stands out.

Questions owners ask
That depends on your franchise agreement and on the data rules that apply. Confirm with a qualified professional what may be collected, and tell staff plainly what is held and why.
For a small network, yes, if every branch uses the same template. Move to something bigger when the sheet is no longer kept current, not before.
Usually leavers by branch and role, because it shows where training and management effort is lost. Vacancies at opening time come a close second for clinics and labs.
