HR documentation process for Industrial canteens: joining papers, site entry and training notes
A canteen on a factory site is asked for papers by the plant, the caterer and sometimes inspectors. One tidy folder per person, kept current, saves hours and avoids awkward gaps.

Canteen staff change often, and the papers fall behind. A new helper starts with a phone number and a name on a sheet. Weeks later the plant asks for entry details, or someone needs a training record, and the manager searches through bags and phones. Documents are in the office, the site and the owner's car, and no one knows what is complete.
Documentation does not need to be elaborate. Decide what a file should hold, assign one person to keep it, check it monthly and store a copy safely. A short checklist per person, covering joining details, site entry, training given and any warnings or appreciations, makes a visit easy to face.
How to set it up
1. Decide what each file holds
List the items: joining details, identity copy, site entry request, health note if you take one, training sheet, warnings and appreciation notes.
2. Name one keeper
One person at the office owns the files, and one person at the site updates the training sheet.
3. Collect at joining
Take the papers on day one, not later. A new joiner who cannot produce an item is told the date by which it is needed.
4. Check monthly
The keeper goes through a sample of files and notes gaps. Gaps are closed within the next week.
5. Store safely
Keep copies in a locked cabinet and a protected folder, and limit who can see them. Employee information management explains how to organise it.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five files at random and mark what is missing.
- Ask the site who holds training sheets today.
- Count joiners without papers a month after joining.
- See if a plant request for staff details could be answered in an hour.

Questions owners ask
That depends on your terms and the law. Confirm with a qualified professional, then list the items on one checklist.
Ask a qualified professional what applies to you. Within that, keep the files in an order that lets you find them in minutes.
For a short time, yes, but move them to a safe shared place soon after. A lost or changed phone should never mean lost records, and photos of papers should not sit in personal chats.
