Grievance and disciplinary process for Industrial canteens: when the plant and the team both have complaints
A canteen team hears complaints from the workers it feeds, from the plant and from each other. A simple route to raise and settle them keeps small quarrels from becoming walkouts.

Canteen staff are squeezed between the plant's demands and the caterer's rules. A worker in the queue may shout about a late meal and the cook takes it personally. The plant admin may ask for a person to be removed without saying why. Colleagues quarrel over duty sections, leave and who handles the hot jobs. Without a route to raise these, matters are settled on the spot, or simmer until someone walks out.
A usable process has three parts. A place to raise a complaint without fear, a short written method for looking into it, and a ladder of responses to lateness and conduct that people can read beforehand. It also states how to handle a request from the plant about a staff member, so the person gets to explain.
How to set it up
1. Name who hears complaints
Choose a person, apart from the immediate supervisor, whom staff may approach. Share their name and timing with the team.
2. Write a simple log
Date, name, issue, action and result. A page in a register is enough. Review it monthly with the canteen manager.
3. Set a ladder for lateness and conduct
A spoken word, a written note, a meeting and so on, with the reasons written. Share it in the local language. Use the HR policies and governance guidance when drafting.
4. Handle plant requests fairly
When the plant asks about a person, listen to both sides before acting. Record what was said.
5. Close the loop
Tell the complainant what was decided. People accept a no more readily than silence.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask the team who they would go to with a problem, and see if they agree.
- Read the last three complaints and note what happened to each.
- See whether warnings were given for lateness without hearing the reason.
- Check whether any request from the plant led to a removal without a talk.

Questions owners ask
Cooks should not be left to respond. They pass it to the manager, who raises it with the plant HR contact. Record the incident.
Follow the ladder you have written, hear the person's side and record it. Rules on termination vary, so confirm with a qualified professional before any such step is taken.
Limit who sees the log, speak to people one at a time and never discuss cases in front of the team. People raise real problems only when they trust the person who hears them.
