Weighbridge Clerk job description

A Weighbridge Clerk weighs incoming and outgoing trucks at a power plant or fuel yard and records the load. Accurate weighments protect the plant from short supply, wrong billing and disputes.

An HR consultant and business owner reviewing employee records together

Why the role exists

Coal, biomass, ash and other bulk materials move in and out of Indian thermal and biomass power plants by truck. The weighbridge clerk records each weighment at the gate. The role reports to the stores or fuel handling in-charge and works with security, accounts and transporters, often in shifts.

What the person does

  • Weigh each loaded and empty truck on the weighbridge and record gross, tare and net weight in the software or register.
  • Check delivery challans, vehicle numbers and supplier details against the purchase order before accepting the load.
  • Issue weighment slips to drivers and send copies to the stores, fuel handling and accounts teams the same day.
  • Report any mismatch in weight, overloading or document error to the in-charge before the truck leaves.
  • Check the weighbridge for zero error, loose parts and clean platform at the start of each shift.
  • Keep the calibration certificate and test records in the cabin and tell the in-charge when recalibration is due.
  • Close the day's records, reconcile slip counts with the gate log and hand over to the next shift with a signed summary.
  • Keep the weighbridge cabin, computer and printer in order, and secure the data so entries are not changed after printing.

Skills and tools

  • Weighbridge software and manual register keeping
  • Checking challans, invoices and vehicle details
  • Basic arithmetic and unit checks
  • Reading load cell indicators and zero checks
  • Typing and basic spreadsheet use
  • Reconciling daily weighment data
  • Polite but firm dealing with drivers and transporters
  • Honest, careful record keeping

Education and experience

Preferred, never a bar: equivalent experience counts.

  • Higher secondary or graduate degree preferred, or equivalent clerical experience.
  • Experience at a weighbridge, gate, stores or fuel yard preferred.
  • Basic computer skills, including data entry and reports.
  • Any legal metrology or calibration requirements depend on the employer and state; confirm with the employer's own adviser.

How the work is judged

  • Accuracy of weighment records compared with stores and accounts checks.
  • Mismatches and disputes reported early and closed with proof.
  • Timely sharing of slips and daily reports.
  • Weighbridge cleanliness, zero checks and calibration records kept up to date.
  • Honest, rule based dealing with drivers, transporters and suppliers.

Where the role can lead

  • Senior Weighbridge Clerk or Gate and Fuel Yard Supervisor.
  • Stores or Fuel Handling Assistant at a plant.
  • Inventory Executive or Logistics Coordinator.

Interview questions to ask

Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.

  1. What do you do when a driver says the weight is wrong and asks you to weigh again?
  2. A supplier's challan weight differs from your net weight. Who do you tell and what do you record?
  3. How do you check that the weighbridge is accurate at the start of a shift?
  4. A senior person asks you to change a slip after printing. How do you respond?
  5. Describe how you would manage a long queue of trucks at the gate with a slow system.
  6. How do you make sure the day's weighment counts match the gate log?

Hiring tips for this role

  • Test with a sample exercise: give five challans and slips with two errors and see whether the candidate finds them.
  • Ask how they handle pressure from drivers or senior staff to change records. Integrity matters more than speed.
  • A common mistake is hiring a fast typist with no habit of checking details. Check accuracy first.
  • Watch the gate set up. Clear segregation of duties between the clerk, security and accounts reduces risk of tampering.

Questions about hiring a weighbridge clerk

Basic training on the weighbridge system and the plant's receiving process is enough for most roles. Calibration and legal requirements depend on the employer and state, so confirm with your own adviser.
