Attendance, shift and leave process for Car Garages: bay staffing from the first job card
A garage cannot service cars with empty bays. Attendance, weekly offs and leave need planning around the job book, or the first Saturday of a long weekend turns into a shouting match at the gate.

In many garages the supervisor finds out who is missing when the first car rolls in. Technicians phone in sick at the last minute, leave runs on verbal permission and weekly offs drift towards whoever asks first. Booked jobs then sit waiting for hands, and advisers promise times that the floor cannot meet.
A workable process looks one day ahead and one month ahead. Each morning the supervisor sees who is present against the booked jobs and moves people between bays. Each month the leave and weekly off plan is set with the booking pattern in view, with festival and holiday weekends agreed early.
How to set it up
1. Mark attendance at the bay
Use a simple in and out entry kept at the workshop gate or on a phone, one line per technician and washer. The supervisor reads it before the first job card is allotted.
2. Fix weekly offs on a rota
Spread weekly offs across the week so Saturday and Monday are not short. Publish the rota monthly and allow swaps only with the supervisor's note.
3. Plan leave around the booking pattern
Look at the busiest weeks, such as festival seasons and long weekends, and agree who is off before bookings are taken. Keep a list of cover technicians for each skill.
4. Set one rule for late and sudden absence
Write down who the technician calls, by what time, and what happens to the day. A plain rule applied evenly prevents most arguments. See the HR documentation process.
5. Read the pattern each month
Look at which days and which people show the most absence, and meet the supervisors to decide what needs to change in rota or workload.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare technicians present at ten in the morning with jobs booked for that day over the last two weeks.
- Check whether weekly offs are written or only agreed by word of mouth.
- Ask supervisors which festival weekends caused trouble last year.
- List the leave requests refused and the reason given each time.

Questions owners ask
Follow the written rule on calling in, speak to the person on return and record it. Do it the same way for everyone so that the process feels fair, and refer to your own policy.
Keep a cover list that shows who can do the work with supervision, and train a second person on key jobs such as electrical diagnosis. Cover grows from training done in advance, not from phone calls on the day.
Yes, within a rota. Allow swaps between two people of similar skill with the supervisor's approval, so the floor stays balanced and the team feels trusted.
