Attendance, shift and leave process for Corporate Vehicle Leasing Companies: keeping every leased vehicle staffed and every call answered
A chauffeur on leave leaves a client without a driver, and a gap on the night desk leaves a stranded user on hold. One clear process for attendance, shifts and cover keeps both promises.

Drivers at client offices are often marked by the client, by a register at the gate or by a call to the branch. Three records exist and none agrees. Leave is arranged by phone between the driver and the branch coordinator, and the relief driver is found the same morning. At the support desk and in the workshop, rosters sit in a spreadsheet kept by one person.
A simple process fixes one source of attendance for each group, asks for leave early, and matches it against a relief plan. Weekly offs are spread so that no client loses a driver on a heavy day. Night desk and workshop shifts are rotated by a visible roster, and swaps are approved by a named person.
How to set it up
1. Choose one attendance record per group
Drivers, desk staff and workshop crew each get a single method, whether a phone check-in at the client site or a punch at the branch. The record feeds wages and billing alike.
2. Ask for leave early and plan the cover
Set a notice period and a simple request form. A branch coordinator matches each leave against a named relief driver before approving it.
3. Spread weekly offs across clients
Look at which clients need a driver on which days and stagger rest days to match. Explain the plan so drivers see it as fair.
4. Publish desk and workshop rosters
Put night, holiday and weekend duty on a shared roster at least two weeks ahead, with rest after a night run. The attendance, shift and leave process can be written to fit your branches.
5. Review absence by client and by month
See where gaps cluster, whether on Mondays, festival weeks or particular clients, and adjust the relief pool and planning.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare a driver's branch record with the client register for one week.
- Count the days last month a client vehicle had no driver and the reason for each.
- Check that night desk duty rotates and a rest day follows.
- Ask the workshop how often a service slot is cancelled for lack of staff.

Questions owners ask
Keep your own record and match it weekly with the client's. Differences should be settled quickly, because billing and wages both depend on which version is accepted.
Yes, with approval from the branch coordinator, so the client knows who is coming. An unapproved swap puts a driver at a site where nobody expects him.
Set a notice that gives you time to arrange cover, and write the exceptions for emergencies. Long notice for long leave and shorter for a single day is a common balance.
