HR documentation process for Car Rental Agencies: driver files, duty slips and joining papers
A rental agency lives on paper: licences, duty slips, joining forms, warnings and agreements with attached drivers. When a client or a driver questions something, the answer must be findable in minutes.

Driver papers are often kept in a bag at the manager's desk or on phones. A licence copy is missing, an attached driver's agreement was never signed and a warning given in anger left no record. When an incident or a dispute arrives, the agency cannot show what was agreed or when.
A tidy file for each person, a uniform duty slip routine and a short list of what must be signed and when removes most of the problem. It also helps when a driver moves between owned and attached status, or when a client asks about a chauffeur's background. Check legal requirements with a qualified professional.
How to set it up
1. Decide what each file holds
For chauffeurs: joining form, licence copy and renewal date, identity proof, emergency contact, agreement and any warnings or commendations. For desk staff, a shorter list.
2. Make one place for files
A locked cabinet or a simple shared folder with named access. Avoid the manager's personal phone as the only store. See employee information management.
3. Track renewals
Keep a sheet showing licence and other document renewal dates, reviewed monthly, so nobody drives with a lapsed paper by oversight.
4. Standardise duty slips
One format, numbered, collected daily and filed against the booking. Missing slips are chased the next morning, not at month end.
5. Write down warnings and praise
A short dated note signed by both parties when a warning or commendation is given. It protects the driver as well as the agency.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Open five driver files and see what is missing.
- Check the next sixty days of renewals and see whether anyone has noticed.
- Look at last week's duty slips for missing signatures.
- Ask whether an attached driver's agreement has ever been written and signed.

Questions owners ask
This depends on the law and your own needs, so confirm with a qualified professional. In the meantime, keep files of leavers separately and do not discard anything that could matter in a dispute.
Yes, a lighter one. Licence, identity, agreement and conduct notes protect you when a client complains. Treat the owner as a second party in the file.
Yes, if they are uniform, timestamped and backed up. Many agencies start on paper and move to phone entries once the format has settled.
