Attendance, shift and leave process for Pilgrimage organizers: yatra rosters and rest days
A yatra crew does not work shifts in the factory sense. They work twelve day blocks with no weekends, then need real rest before the next block.

Share your requirementsWhy attendance, shift and leave process matters in pilgrimage organizers
Leaders and cooks in a pilgrimage business may be on the road for most of a season. Days worked, days of travel and days at rest are noted in the office on paper, from memory or not at all. Pay arguments and tiredness follow.
A roster process records each person's yatras with start and return dates. It sets a rest period after each yatra and plans leave in the quiet months. Imagine a cook who returns from a Char Dham yatra on Friday and is asked to leave again on Sunday. The roster shows the problem before it is decided.
How to set it up
1. List departures and crew in one sheet
Date out, date back, leader, cook and helpers, for each yatra, updated as bookings change.
2. Record travel and return days
Treat the days of travel as work days in the record and note any overnight duty.
3. Set rest after each return
Agree minimum rest days by length of yatra, with exceptions approved by a named person.
4. Plan leave in the quiet months
Offer a leave window outside the peak and ask for requests early. Role sheets help decide who can cover.
5. Check the record at season end
Compare the sheet with what crew remember, correct differences and keep a copy.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count consecutive yatras done by your busiest leader last season.
- See whether rest days were taken or paid in lieu, and why.
- Ask crew whether the record of their days matches their memory.
- Check how many people took leave in the quiet months.

Questions owners ask
Count the day of departure and return and any day of travel as work, and note overnight duty. Agree this with the crew and write it down.
Usually only in emergencies, so plan leave before and after the season. State this in the offer so no one is surprised.
Allow it only with a rest rule and a named approver. Some leaders want the work, but fatigue shows up in guest care.
