Employee onboarding process for Pilgrimage organizers: the first day on the road
A yatra helper often meets the group for the first time on departure day. A short, clear induction is the difference between a calm start and a day of confusion.

On many yatras new helpers are handed a bag and told to stay with the elderly. They do not know the route, the guests, the kitchen or the leader's way of working. Guests notice quickly, and the leader spends day one explaining things that could have been covered earlier.
Onboarding here is a half day before departure and a buddy on the road. The half day covers the route, the guest list with any special needs, the care standard and the daily routine. A senior helper stays beside the newcomer on the first two days. Imagine a helper who does not know that one guest needs a wheelchair at the station. The briefing sheet should say so.
How to set it up
1. Hold a half day briefing
Route, stops, rooms, timings, the leader's rules and contact numbers, in a pack of two pages the helper carries.
2. Share the guest sheet
A list of guests by age, mobility and food needs, held by the leader and shown to the helper in confidence.
3. Show the care standard
Practise on a bag carrying, a step, a queue and a night call. Use a senior helper to show it, not a slide.
4. Name a buddy for the first two days
A senior helper stays beside the newcomer and checks their work at the end of each day.
5. Hold a short review at day three
The leader asks the newcomer what is unclear and what they need. See leadership training for leaders who coach.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask last season's first-time helpers what they wished they had known on day one.
- Check whether a briefing pack exists and when it was last updated.
- See whether guests' special needs are written anywhere other than the leader's head.
- Count helpers who left within the first week of a yatra.

Questions owners ask
A half day before departure is usually enough for a helper, followed by two days with a buddy. Cooks need extra time with the kitchen lead on food and hygiene.
Yes. Cover menus, guests' dietary needs, equipment, hygiene and the evening routine with the lead cook, and let them cook a trial meal before the yatra.
Use the same pack and place them with a senior for the first day. Do not assign sole charge of any guest until the leader is comfortable.
