Attendance, shift and leave process for Corporate travel providers: after-hours cover and month-end peaks

A corporate travel desk is judged on the call at midnight and the request at nine. Rotas that look fair on paper but ignore rest end with tired executives making errors.

Why attendance, shift and leave process matters in corporate travel providers

Most corporate travel providers run a day desk and some form of night cover. In smaller firms, one or two people carry the phone at night for weeks. They answer a stranded traveller at two in the morning and are expected at nine. Nobody has written down what happens if the phone is not answered.

A shift process puts the rota, the call log and the leave rules on one page. It says who is on call, who backs them up, what rest follows and how calls are recorded. Imagine a ticketing specialist who covered three weekends in a row. The log would show the pattern and the rota would correct it.

How to set it up

  1. 1. List the cover hours

Hours of the day desk, the night desk and weekends, by client need and not by habit.

  2. 2. Build a rota with a backup

Spread duty fairly, name a backup for each slot and set a rest rule after any night call.

  3. 3. Keep a simple call log

Time, client, request and outcome, passed to the day desk at handover.

  4. 4. Plan leave around peaks

Mark month ends, travel seasons and client events on the calendar and agree leave windows ahead.

  5. 5. Review the rota every quarter

Count calls per person, adjust and ask the team what is not working. See HR reporting for simple counts.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Count night calls in the last month by person.
  • Check if a backup was named for every slot.
  • Ask team members when they last had two consecutive days off.
  • See whether the call log reaches the day desk.

Questions owners ask

Many firms start with volunteers and add a rota when the load grows. Whichever you choose, apply the same rules to all and record the calls so effort is visible.
