HR documentation process for Employee transport providers: driver files, licence dates and client papers
A lapsed licence or badge can take a vehicle off a client route overnight. Good documentation keeps driver papers current and easy to find when a client asks.

Driver files in a transport business are often scattered. A licence photocopy sits with the depot clerk, a medical paper is in a drawer, and the client's list of approved drivers lives in a phone chat. When a facility manager asks for a driver's details, someone spends an hour searching.
A simple documentation process puts one file per driver, one tracker of expiry dates and one place for client-related lists. It also records duty, leave and complaints in a form that can be shown to the driver. This protects both sides when a dispute arises.
How to set it up
1. Fix the contents of a driver file
Decide which papers every file must hold: identity, address, licence, badge, medical paper, training record and signed conduct note. Use the same folder layout for all.
2. Build a date tracker
One sheet showing each driver, each document and its expiry. Colour dates that fall within sixty days and check it on a fixed day every month.
3. Keep client approval lists
For each client, list approved drivers and vehicles, with the date each was approved. Update it whenever a driver changes route.
4. Record duty, leave and complaints
Note late starts, leave taken and complaints with the date and outcome. Show the driver what is recorded. See attendance and leave rules.
5. Review files twice a year
Pick ten files at random, check for missing papers and fix gaps. Record who reviewed and what was changed.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pull five driver files and check whether each holds the full set of papers.
- Count documents that expire in the next sixty days and see who has been told.
- Ask the depot clerk how long it takes to produce a driver's details for a client.
- Check that client approval lists match who is actually driving today.

Questions owners ask
In one controlled place, with limited access, and a copy of the tracker for the transport manager. Whether paper or digital, the rule is that anyone can find a file within minutes.
Use a tracker reviewed monthly, tell the driver sixty days ahead and make renewal part of the duty roster. Do not allow a driver on a route once a paper has lapsed.
Date, route, what the passenger or client said, what the driver says and what was agreed. Keep it short and factual, and share it with the driver.
