HR documentation process for Airport Taxi Operators: driver files, passes and warnings
Airport operators answer to the authority, the counter owner and passengers. A tidy driver file, a dated diary of passes and written notes on warnings let you answer any of them quickly.

Paper in an airport operation is scattered. A driver's licence copy is with the supervisor, the entry pass is in his pocket, the warning was a call from the manager and the queue rule was told verbally at the rank. When a pass lapses or an incident is reviewed, nobody can find the record.
One file per driver, kept up to date, solves most of it. It holds identity, licence, badge, entry pass and their dates, signed acknowledgement of queue and conduct rules, training attended and any warnings. A single diary lists every date coming due. Access to files is limited and kept private.
How to set it up
1. Decide what each file must hold
A checklist of documents, dates and signed forms, the same for every driver, kept in one place.
2. Build a date diary
A list by name of licence, badge and entry pass expiry, with a reminder thirty days before each.
3. Record rule acknowledgements
Each driver signs a short sheet on queue, conduct and fare rules when they join and when the rules change.
4. Write down every warning
Date, what happened, what the driver said and what was agreed, signed or noted if refused. Keep it factual.
5. Limit access and review yearly
Only named supervisors see files. Once a year check for missing items and remove papers not needed. See employee information management.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five driver files and count missing documents.
- Check how many entry passes expire in the next two months.
- Ask whether any driver was told of a rule only verbally.
- See who has keys or access to the files and whether that list is current.

Questions owners ask
Either works if it is complete, backed up and access-limited. Start with what your supervisors will actually keep up to date.
Retention periods depend on the document and on the law that applies to it. Confirm the periods with a qualified professional before you destroy or archive any driver record.
It builds trust to let them check their own details and correct mistakes. Keep notes about other people out of the file.
