Employee information management for Cricket Academies: coach files, certificates and renewals
Parents trust an academy with their children, so coach records need to be in order. A tidy file per coach, with renewal dates, answers questions quickly and keeps the academy credible.

Share your requirementsWhy employee information management matters in cricket academies
In many academies, information about coaches sits in the head coach's phone and the owner's memory. Certificates are scanned in a mixed folder. Nobody remembers when a first-aid course ends. When a tournament organiser, school or parent asks for proof of qualification, it takes days to find.
A simple file per coach solves the problem. It holds identity, contact, emergency contact, coaching qualifications, first-aid training, past academies and dates for renewal. One person owns it, a calendar flags expiries, and access is limited to those who need it.
How to set it up
1. Decide what each file holds
Identity, contact, emergency contact, qualifications with dates, first-aid, past experience, terms of engagement and review notes. Exclude anything you do not need.
2. Collect and check papers
Ask each coach for copies and verify certificates with the issuing body where possible. Record what was checked and when.
3. Name a file owner
The academy administrator keeps the files and updates after any change. See employee information management for storage ideas.
4. Build a renewal calendar
List every certificate with its expiry or refresher date, and remind coaches two months ahead.
5. Limit access and review each term
Only the owner, head coach and administrator see the files. Review accuracy every term and when a coach leaves.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Choose one coach and find their coaching certificate and first-aid date quickly.
- List coaches whose certificates or first-aid training are due within three months.
- Check who can open coach files and whether each person needs access.
- Ask whether a parent has ever asked for a coach's qualifications and how you answered.

Questions owners ask
Identity, contact, emergency contact, qualifications, first-aid training, terms and review notes. Keep only what you need, store it safely and ask a qualified professional about retention and data protection.
Share name, role and qualifications that are relevant. Keep identity and contact details private unless the coach agrees. Tell coaches in advance what will be shown on the website or brochure.
Use a simple calendar or sheet listing each certificate and its date. Name one person to check it monthly. Remind coaches two months before, so they have time to book a course.
