Attendance, shift and leave process for Cricket Academies: nets, grounds and rain-offs
A cricket academy has a fixed number of nets and a coach for each slot. A timetable with named cover and a clear rain-off and leave rule stops sessions from collapsing when a coach is absent.

Academy timetables are often kept in a notebook or a chat group. When a coach falls sick or a ground is flooded, sessions are moved by phone calls and parents hear late. Part-time coaches with other jobs accept some sessions and miss others, so attendance and pay records drift apart.
A cleaner way is to build a term timetable, name a coach and a cover for every batch and record who actually took each session. Rain-offs and holidays follow written rules. Leave is requested early, and when a coach is away, the cover coach receives a short note about the batch.
How to set it up
1. Build the term timetable
List batches, age groups, ground and net, coach and cover coach. Check clashes in nets, turf wickets and indoor halls.
2. Record each session
The administrator or coach marks who took the session, who attended and any changes. This is the base for pay and for the monthly check.
3. Write a rain-off and holiday rule
Say how sessions are rescheduled, how parents are told and how coach pay is treated. Apply it uniformly.
4. Set a leave routine
Planned absence is asked for in advance, cover is named and the cover coach receives the batch notes. See the attendance and leave process.
5. Review missed and moved sessions monthly
Count sessions moved or missed, and by reason. Repeated patterns point to a timetable or coach issue to fix.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare last month's session records with the timetable and count differences.
- Ask a part-time coach when they last asked for leave and what happened.
- Find which batches have no named cover coach.
- Check how parents were told about the last rain-off.

Questions owners ask
Decide in advance whether to reschedule, pay a reduced rate or leave unpaid. Tell parents and coaches the rule at the start of the season. Applying the same rule to all builds trust.
Yes, a light one. Ask for notice, name cover and share batch notes with the cover coach. It protects the children and the coach's own reputation with parents.
Ask coaches to confirm the week's sessions two days ahead and keep a cover list. Review patterns monthly with the coach concerned. Most repeat cancellations come from clashes with other jobs.
