HR documentation process for CBSE Schools: staff files that are ready when asked
A school is asked for staff papers by the management, the board and parents at awkward times. A standard file for every teacher and a yearly check make that a short job.

In many schools the file for a long-serving teacher is a folder in the office with a joining letter, some certificates, and a set of increment letters in the accountant's drawer. When the trust wants a list of qualifications by subject, or an inspector asks for appointment papers, a clerk spends days putting it together and finds gaps.
A documentation process says in advance what goes in a file, who keeps it, how often it is checked and how it is shared. It also gives templates for common letters, such as appointment, confirmation, change of duty and leaving. This makes treatment of staff consistent and protects the school if a dispute arises.
How to set it up
1. Write the file checklist
List the papers every staff file must hold, such as the appointment letter, qualification proofs, previous service details, training, appraisals and leave summary. Add a line for notes agreed with the teacher.
2. Create standard letters
Templates for appointment, confirmation, increment, change of duty, transfer between sections and relieving. Simple language, reviewed by a qualified professional.
3. Audit existing files
Check all files against the list over a term. Make a list of missing papers by teacher and ask staff to supply them, explaining why.
4. Decide who keeps and who sees
Name a custodian, a place, and who may view a file. Teachers can see their own. See employee information management.
5. Check once a year
At the start of the session, update files with new qualifications, courses and letters. Sample ten files to see if the system holds.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five staff files and mark what is missing.
- Ask how long it would take to list teachers by qualification and subject.
- See if appointment letters exist for every teacher on the staff list.
- Check where files are kept and who has a key.

Questions owners ask
Appointment letter, qualification and identity proofs, service history, training records, appraisals and letters of change. Confirm with a qualified professional exactly which papers apply to your board and state.
Explain the reason, give a date and offer help. Do it for all staff at once, so that nobody feels singled out. Keep a note of what was received.
Generally yes for papers they provided or signed. Agree a simple way to ask, and confirm the rules for other contents with a qualified professional.
