Attendance, shift and leave process for Temples: a dawn-to-night rota

A temple cannot open late because the person with the key was away. Attendance and leave here are about covering rituals, not just counting days.

Why attendance, shift and leave process matters in temples

Most temples keep a mental timetable. The priest knows the abhishekam hour, the cook knows the naivedyam time and the clerk knows when the counter opens. When one of them is ill or travelling, the others improvise, and what was missed is learned only when a devotee complains.

A written rota changes this. Each ritual and service has a time, a person and a second person. Leave is then planned against it, and festival weeks are marked in advance as days when leave is closed or limited. The record also shows who actually served, which helps when honoraria are decided.

How to set it up

  1. 1. List every service by time

Write each ritual, opening, closing and kitchen task with its start time, in order across the day. Include weekly and monthly special services.

  2. 2. Name a primary and a backup

Put two names against each service. If no backup exists, mark it as a gap to fill by training, not a risk to ignore.

  3. 3. Mark festival and closed-leave dates

Share the year's festival dates with all staff early so leave requests can be planned. Agree how rest is given after the peak.

  4. 4. Keep a simple daily sign-in

A register at the office or a phone message to the clerk is enough. Record the actual person who performed the service.

  5. 5. Review leave and cover monthly

The executive officer or a trustee reads the month's register with the clerk and notes where backups were used or failed.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Pick three rituals and ask who covers each if the usual priest is absent.
  • Count the festival days in the last year when leave was taken by permanent staff.
  • Look at the last month's records and see whether they show who served or only who was present.
  • Ask staff how they request leave today and who approves it.

Questions owners ask

Use a separate volunteer sheet with the same columns. It keeps staff and volunteer time apart, which helps when you plan rest and when you decide any honorarium.
