Attendance, shift and leave process for Label Manufacturers: handover and cover on narrow web presses
Label orders are short and many, with several changeovers a day. A shift pattern and handover that carry the job state keep colour and registration from restarting at every change of crew.

In a small label unit, shifts are set by habit and a few people hold the line together. A handover is a word at the machine, so the next crew does not know which plates are worn or which job is waiting for proof. Staff leaves are arranged by asking the operator, so the press stops when he is away. Overtime appears when customers change artwork late, and it falls on whoever is present.
Good looks like a written shift pattern, a one page handover per press with job state, plate and ink status and open proofs, and a leave rule that asks for notice and names cover. Overtime is shared among the trained staff and paid on time. Absence is read weekly so that patterns show early, not at month end.
How to set it up
1. Write the shift pattern down
State start and end times, breaks and weekly offs for each press and for inspection and packing. Post it, and give a copy to the operators.
2. Add a one page press handover
Include job number, stage, plate status, ink batch, reference colour location, open proofs and any machine fault. The outgoing operator fills it and the incoming one reads and signs.
3. Name cover for each press
For every press, name who can run it if the operator is away and what they can run alone. If nobody can, record the gap and plan to fill it.
4. Handle late artwork changes with an overtime rule
Agree who is asked first, how overtime is paid and when the customer is told of the delay. Record each late change, to show the pattern to the customer.
5. Track absence weekly
Read absence by person and day. Speak early and kindly. See attendance, shift and leave software when the paper register gets slow.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Read the last week of handover notes and count jobs with missing plate or ink details.
- List presses that have no named cover.
- Count late artwork changes in the last month and the overtime they caused.
- Check whether leave was approved by one person after seeing the whole roster.

Questions owners ask
Write the pattern, rotate overtime among trained people, and apply the same leave rule to everyone. In a small unit even a minor favour is noticed, so a visible rule protects you.
Job number and stage, plates and anilox in use, ink batches, where the colour reference is, open proofs and faults. Keep it to one page so it gets filled and read at the machine.
That is a commercial decision between you and the customer. For HR, record each change and its cost in overtime, so you have the facts when you talk to the customer about it.
