Employee information management for Healthcare NGOs: one record for qualifications and posts
A healthcare NGO needs to know quickly who is qualified for what, where they are posted and which project pays them. That depends on one tidy record per person, not on files at five offices.

Staff papers are held wherever the person was hired. A nurse hired by the Bihar project office has her certificates there, while head office has only an offer letter. A donor audit or an urgent transfer reveals the gaps: an expired registration, a missing training date, a contract that was never signed. Finding them takes days.
A good record holds the same few things for everyone: identity and contact, role and project, qualification papers, registrations with renewal dates, training done, emergency contact and a note of each posting. It is kept in one place with a clear owner, and only the people who need it can open it. Personal details are sensitive, so access should be limited and logged.
How to set it up
1. Decide what the record holds
List the fields needed for every person and the extras for clinical and outreach staff, such as registration and renewal date. Keep it short enough to maintain.
2. Collect and check the papers once
Gather certificates and registrations at joining and compare them with the originals. Note who checked them and when.
3. Add a renewal reminder
Put each registration date into a calendar that HR checks monthly, and tell the person and project lead 60 days ahead.
4. Record postings and project charges
Note where each person works, who pays and any change. This helps the HR documentation process and makes donor reports quicker.
5. Limit and review access
Decide who can see what. Review the list of people with access every six months and remove those who no longer need it.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five staff members and see how long it takes to produce their qualification papers.
- Check whether any registration has lapsed without anyone noticing.
- Ask project offices what they hold that head office does not.
- Look at who currently has access to personal records and why.

Questions owners ask
Qualification papers and any registration that must be kept current, with renewal dates. Which ones apply to your staff is a point to confirm with a qualified professional.
They can hold working copies, but head office should hold the master record. Otherwise nobody can answer a simple question about a person without phoning three places.
Collect only what you need, keep it in one controlled place, limit access by role and train the people who handle it. Check the rules that apply with a qualified professional.
