HR documentation process for Budget hotels: Joining Papers, House Rules and Staff Records in One Folder
A small hotel often runs on talk. A thin folder per person and a one-page rulebook prevent most disputes over pay, advances, leave and notice.

In many budget hotels the terms of work are spoken once and then forgotten. A receptionist remembers an advance as a gift, the owner remembers it as a loan. A worker leaves and says he was promised a bonus. The owner says he never did. No one can check, and trust suffers on both sides.
A modest set of papers fixes this. Each person has a short offer letter, a copy of the house rules, a record of advances and a sheet of leave taken. The papers are kept in one place, signed and explained aloud. The work takes an afternoon to set up and a few minutes per joiner.
How to set it up
1. Make a single offer letter
One page with post, pay, shift, probation, meals, room and notice. Read it aloud and give a copy.
2. Write the house rules
Five to eight rules on attendance, leave, conduct, advances and complaints. Use plain words and translate to the local language where useful.
3. Open a folder per person
Hold the offer letter, ID copies the owner is entitled to keep, advance record and leave sheet. Keep it locked and say who can see it.
4. Record advances and recoveries
Write each advance, its purpose and the repayment agreed, signed by both. Review it each month so no one is surprised.
5. Close the file when someone leaves
Note the last day, dues settled and items returned. This gives a clean end and protects both sides. Employee information can extend the approach.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five staff and see whether each has a signed record of terms.
- Check how many advances are written down and signed.
- Ask staff where the house rules are and whether they know them.
- Look at the last leaver and see whether the file was closed in writing.

Questions owners ask
A simple letter and rule sheet can be drafted by you, but have a qualified professional check the terms against the rules for your business and state before you use them widely.
Read the papers aloud in their language, use short sentences and have a colleague witness the signing. Give a copy that a family member can read.
Ask a qualified professional about the period required. In the meantime keep files in a safe place and do not discard anything about pay, advances or conduct.
