Close Every Exit Cleanly, From One Site or a Whole Contract
People leave a facility firm every day, most of them from sites you visit rarely, and sometimes without notice. Our exit and alumni service sets a standard sequence from resignation to relieving letter, recovers uniform, ID and keys, cancels client access the same day, settles dues on a stated timeline and plans for the larger event when a contract ends and a whole site team is released.

Not sure what you need? Tell us about your business in six short steps and we will come to the first meeting prepared.

Does a Leaver's Access Stop on the Day They Leave?
A worker walks off a site and the uniform, ID card, tools and keys go with them. The client's gate may still recognise the pass. Wages and recoveries wait for someone to compute them, and a worker who feels shortchanged tells colleagues. When a contract ends, all of this happens at once for a whole team.
We help you set a sequence that every site can follow, in small exits and large ones.
You may be experiencing:
- Uniform, ID cards, access cards and tools that are not recovered.
- Client access and systems not cancelled when a person leaves.
- Resignations accepted verbally at the site, with the date unrecorded.
- Final settlement delayed because attendance and recoveries must be traced across sites.
- Workers leaving without notice with no clear step for handling it.
- Contract end releasing a team with no plan for redeployment, settlement or documents.
- Exit records held by the supervisor, so rehire decisions are made from memory.
What we can help with
Our Exit and Alumni Management Services for Facility Management
Exit Process and Timeline
Set the steps from resignation or notice through last working day, handover, clearance, settlement and relieving letter, with an owner and a target time for each step.
Resignation Intake
Define how a resignation is accepted, acknowledged and recorded wherever it is made, including by phone or at a distant site, so the notice date is clear to payroll.
Absconding and No-Notice Exits
Write the steps for a person who stops coming: attempts to contact, a defined waiting period, a record and the way the case is closed, applied the same way at every site.
Clearance Checklist
Create a checklist for uniform, ID card, access cards, keys, tools, chemicals, advances and client property, with a named person who signs each item.
Client Access Cancellation
Set a same-day route to tell the client's security or facilities team when a person leaves, so passes and system access are cancelled, and record the confirmation.
Settlement Sequence
Define how final dues are computed, checked and paid: attendance to the last day, recoveries, leave and other items you offer, with approvals and a payment date. The rules that apply should be confirmed with a qualified professional.
Contract-End Release Plan
For a site closing, plan the order of announcement, redeployment offers, settlement, documents and recovery of items, with a single owner for the whole exercise.
Exit Records and Rehire Eligibility
Keep a central exit record with the reason, notice, clearance status and rehire flag, and define a simple way to stay in touch with people you would welcome back.

Step by step
How We Work
Look at Recent Exits
We review a sample of recent exits, including a contract end, and note where recovery, clearance and payment slipped.
Design the Sequence
We set the steps and owners with HR, operations, payroll and area managers.
Write Checklists and Letters
We prepare the checklists, formats and letters, and the client notification route.
Brief Sites
We brief supervisors and coordinators, and trial the sequence at a few sites.
Review the Exits
Before work starts we record how long settlements take and how much stays unrecovered, and we report against that regularly.
The difference
Leave No Pass, Uniform or Settlement Open
A defined exit process helps you:
We do not promise outcomes. We record a baseline before work starts, covering time to settle, unrecovered items, passes left active and exit records complete, and report against it, so you can see what changed and what did not.
- Record every resignation and its date.
- Recover items against a list.
- Cancel client access promptly.
- Pay dues on a stated timeline.
- Handle contract-end releases in order.
- Make rehire decisions from a record.

How it usually shows up in facility management
Exits in facility management happen constantly and mostly at the sites. A worker leaves without notice, or with a short one. The uniform, ID card, keys and access cards, which belong to the firm or the client, may not come back. The client's access should be cancelled. Final wages, advance recoveries and any statutory dues need to be settled on time, and a worker who feels cheated will tell colleagues. When a contract ends, a whole site's workforce is released or moved at once, which is an exit event on a larger scale. Records of who left, when and why are often kept by the supervisor.
Common challenges
Where it goes wrong in facility management
Items do not come back
Uniform, ID, keys and access cards are not recovered, and the client's access stays active.
Settlement is late
Final pay and recoveries are delayed, and word spreads.
Contract end is a mass exit
A whole site is released or moved with little plan or notice.
Exit records are with the supervisor
Reasons and dates are not held centrally, so patterns are lost.
A better process
What a working version looks like
- 01
Use a standard exit checklist
Uniform, ID, keys, access cards, recoveries and final pay, each with an owner and a date. The exit and offboarding process holds it.
- 02
Cancel client access the same day
The client informed and access revoked on the last working day.
- 03
Plan the end of a contract
A schedule for redeployment, release and settlement, with notice to staff and the client.
- 04
Record every exit centrally
Date, site, reason and rehire eligibility in one list.
What to check this week
- Check what happened to the ID and access card of the last leaver.
- Ask how long final settlement takes after the last day.
- Look at how the last contract end was handled for the staff.
- Find out where exit reasons are recorded.
- Confirm with a qualified professional the settlement and notice rules that apply.
Confirm with a qualified professional. What applies depends on your establishment, your state and your sector, and it changes. This page describes a practice; it does not state a legal position.
What this looks like in facility management
The parts of exit and alumni management that are specific to this sector, rather than general.
Exit From a Client Site
The client notices before you do.

Exit From a Client Site
The client notices before you do.
What this coversHideYour employee works at somebody else's premises. When they leave, the client experiences it as a service change, so the exit process has to run to the client's expectations as well as your own.
- Replacement identified and inducted before the last working day, not after
- Client informed through the agreed route and timeline
- Site access card, keys and client-issued credentials returned to the client
- Uniform, equipment and communication devices recovered
- Site-specific instructions and knowledge handed to the replacement
- Attendance and deployment record reconciled for billing
- Client sign-off obtained where the contract requires it
We build the exit around the deployment rather than around head office, because a vacant post at a client site is a contractual issue long before it is an HR one.
- Notice received
- Client informed
- Replacement inducted
- Access transferred
- Settlement completed
Questions on this, in facility management
Record the date of last attendance, make and record attempts to contact them, apply your defined waiting period and close the case in the same way at every site. The treatment of notice and dues is for you and your adviser to confirm.
No. GullyHR does not give legal advice. We set up the process and the records. The obligations that apply to notice, settlement and relieving should be confirmed with a qualified professional.
Add a step to the clearance list: tell the client's security or facilities contact on the last day and record their acknowledgement. The coordinator checks that it is done.
Plan it as a project: confirm the end date, list the people affected, identify redeployment options, set a settlement date, plan recovery of items and communicate with staff early and honestly.
If you are likely to rehire, yes. A simple list of people who left in good standing, with contact details and the roles they held, can shorten your hiring when a new site opens.
Each owner signs their own item, such as store for uniform, supervisor for tools, the client coordinator for passes, and HR gives the final sign-off, so nothing is cleared on a single person's say.
Return of uniform, ID, keys and access cards, cancellation of client access, recovery of any advances and the final settlement, each with an owner and a date.
With early notice, a plan for who is redeployed or released, and settlement on time. Staff talk to each other, and how one site ends affects the next.
Because a late final payment is remembered. A worker who is paid correctly on time is a possible rehire and a source of referrals.
Yes. Good frontline staff who left on good terms are the cheapest and fastest hires when a post opens.
Close Every Exit in the Same Order
If exits depend on a supervisor's memory, a written sequence and checklist will save time and avoid disputes.

The general method — what exit and alumni management covers, the questions it answers and what an engagement produces — is the same whatever the sector, and is set out on the exit and offboarding process page. What is above is the part that differs for facility management.
To run this in a system rather than on paper, see exit and offboarding software.
