Employee information management for Exhibition organizers: crew lists, contractors and past show roles
Between shows, a lot of knowledge walks away: who ran registration, which hostess was reliable, which contractor handled power. One tidy record keeps it with the company.

Exhibition organisers deal with many names. Permanent staff, past show crews, hostesses, contractors, hall officers and exhibitor contacts sit across phones, spreadsheets and email threads. When a lead operations person is on leave or has left, the team cannot tell who worked which show or how they were rated.
A single record with limited access fixes this. For staff, it holds roles, join dates and training. For show crews, it holds the shows worked, the role, a short rating and availability. Because it includes personal details, access should be limited to those who need it, and the owner should ask a qualified professional how long such data may be kept.
How to set it up
1. List every group of people you hold data on
Permanent staff, show crews, hostesses, contractors and their staff. Note where each list lives today.
2. Decide the fields for each group
For crews: name, contact, shows worked, role, rating and availability. For staff: role, joining date, training and reporting line.
3. Move the lists into one shared record
Choose a single place and copy data in, removing duplicates. Mark who owns updates.
4. Limit access
Show crew ratings to supervisors and operations, staff files to HR and the owner. Do not keep ID numbers in open sheets.
5. Update after every show
Within two weeks, add ratings and roles, and remove entries that are out of date. See HR documentation process.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Try to find the name of the registration supervisor from your last show in under two minutes.
- Count how many crew lists exist and who holds them.
- Check who can open the staff and crew sheets today.
- See how many entries have no update in a year.

Questions owners ask
Not necessarily. A well organised shared sheet with limited access can work for a small team. What matters is one place, clear fields and someone responsible for keeping it current.
Ask a qualified professional about rules that apply to personal data and how long you may hold it. In practice, keep active crews and review the list each year.
The operations lead for crew ratings and the HR or admin person for staff data. Give both a deadline in the show debrief, or the update will slip.
