Put People, Authorisations and Rosters in One Record
In an energy business, HR software has one job that matters more than the rest: making sure the person on the roster, named on the permit and working on the asset is competent for the task. In many plants the records that answer that live in different places, and the check depends on someone remembering. Our HR technology service sets up the records, workflows, approvals, reminders and reports on the GullyHR platform or on a system you already own. You choose the tool. We make sure it follows your process and not the other way round.

Not sure what you need? Tell us about your business in six short steps and we will come to the first meeting prepared.

Do Your Systems Know About Each Other?
Rosters sit in a shift-planning tool, authorisations in the training office, permits in a permit register and medical fitness in HR. Each is accurate on its own terms, and none sees the others, so the connection that matters is made by hand.
We help you decide what to hold in one place, who maintains it and which steps the software prompts.
You may be experiencing:
- A roster, an authorisation register and an attendance sheet that disagree.
- Expiry dates for certifications and medical fitness found only when someone goes looking.
- Attendance taken on paper at remote project sites and entered days later.
- Contractor workers' records held outside your systems altogether.
- Approvals for leave, overtime and shift swaps travelling by phone, message and paper.
- Employee data copied between spreadsheets each month, with versions that drift.
- Software bought for one plant that other sites never adopted.
What we can help with
Our HR Technology Services for Energy and Utilities Businesses
Requirements from Your Actual Process
Write down how joining, attendance, shifts, leave, overtime, authorisation renewal and exit work today, and where the steps stall, before any tool is chosen or configured.
Employee and Authorisation Record Set-Up
Configure one record per person holding role, site, employment type, certifications, authorisations and medical fitness dates, with expiry reminders and views by site and by task.
Attendance, Roster and Leave Workflows
Set up shift patterns, rotation rules, swaps, leave types and approvals, with offline entry methods and a cut-off for sites that cannot be connected all the time.
Payroll Input Workflows
Build the route from attendance, overtime and allowance approvals to a payroll-ready input, with a sign-off step and a log of changes.
Contractor Worker Registers
Hold contractor and contract-worker records by site, with entry documents, induction dates and attendance, so reconciliation against invoices uses the same data.
Self-Service and Approvals
Let employees see balances, apply for leave, request corrections and download letters, with approvals routed to the supervisor you name and a rule for when one is away.
Performance and Training Records
Keep review forms, competence assessments and training records in the same place, linked to the person and to the competence matrix.
Data Migration and Rollout
Clean and load existing records, run the new set-up alongside the old for a period and train supervisors, site coordinators and HR users, site by site.
Working together
How the Technology Work Can Be Structured
Process Design Only
We document the process and requirements, and your own team or vendor builds it.
Configure on the GullyHR Platform
We set up records, workflows, approvals, reminders and reports on the GullyHR platform for you.
Work on Your Existing System
We fit the process to a system you already have, advising on settings and gaps.
Phased Site Rollout
One plant or project first, then others, with a review between each.
Links between HR records and your permit, plant or finance systems are not assumed. They are discussed and scoped separately, and agreed in writing before any work begins.
The deliverables
What You Receive
Depending on the option chosen, your team receives:
- A process and requirements document for each HR workflow.
- A configured employee and authorisation record structure.
- Attendance, roster and leave workflows with approvals.
- A payroll input route with sign-off.
- A contractor worker register format.
- Self-service views and an approval-routing table.
- Reports and reminders agreed with management.
- A migration log and user guides for supervisors and HR staff.
Step by step
How We Work
Map the Process and the Records
We document how work flows and which records exist, with HR, shift supervisors, the training office and site coordinators.
Decide What Lives Where
We agree which record is the master for each fact, who changes it and what the system should prompt.
Configure and Clean the Data
We set up the workflows and prepare existing data for loading, noting the records that are missing or contradictory.
Run a Pilot Site
We take one plant or project live, watch for friction on a real roster and attendance cycle and adjust before widening.
Roll Out and Review
Before work starts we record your current position, covering authorisations without an expiry date, attendance entered after cut-off and approvals handled outside the system. We report against it as sites go live.
The difference
Records That Outlast the People Who Kept Them
A well-set-up system helps you:
We do not promise outcomes. We record a baseline before work starts, covering authorisations with no expiry date held, attendance entered after cut-off and approvals handled outside the system, and report against it, so you can see what changed and what did not.
- Hold people, authorisations and fitness dates in one record.
- Receive expiry reminders ahead of the date.
- Capture attendance at remote sites by a rule, with a late-entry route.
- Route approvals without phone chains.
- Reconcile contractor attendance to invoices from one source.
- Let supervisors and employees see what they need and nothing more.

How it usually shows up in energy and utilities
HR technology in energy has a particular job: to make sure that the person on the roster, named on the permit and working on the asset is competent and authorised for the task. In many plants the records that answer that question are in separate places: the roster in a shift planning tool, authorisations in the training office, permits in the permit system, medical fitness in HR. None of them can see the others, so the check depends on a person remembering. Contractor workers' records often sit entirely outside. Attendance in remote project sites is taken on paper. The result is that systems exist, and the connection that matters is made by hand.
Common challenges
Where it goes wrong in energy and utilities
The records that matter are separate
Roster, authorisation, permit and medical fitness are in different systems.
The check depends on memory
Whether a person is authorised for the task is confirmed by a supervisor's recollection.
Contractors are outside the system
Their workers' authorisations and attendance are held by the contractor.
Remote sites are paper-based
Attendance and records at project sites are written by hand.
A better process
What a working version looks like
- 01
Link authorisation to the roster and permit
A lapsed or missing authorisation blocks the assignment, not after the fact. The HR process automation work begins with this link.
- 02
Put contractor workers on a light record
Identity, employer, trade, authorisation and dates, so everyone on site is visible.
- 03
Keep attendance simple at remote sites
A phone or gate method that works offline. GullyHR software is configured for this.
- 04
Keep a log of changes
Who changed an authorisation, when and with whose approval.
What to check this week
- Ask how a supervisor knows a technician is authorised for a task.
- Check whether the roster can see authorisation and medical expiry.
- Look at how contractor workers' records are held.
- Find out how attendance is taken at the most remote site.
- Check whether changes to authorisations are logged.

Competency and Authorisation in the System
Where the record decides who may work.
What this coversHide
Competency and Authorisation in the System
Where the record decides who may work.
What this coversHideIn energy and utilities, an expired authorisation is an operational and safety matter rather than an administrative one, so the competency record belongs in the system that rosters people.
- Competency and authorisation held against the individual
- Expiry tracking with advance alerts, not retrospective discovery
- Roster validated against current authorisation
- Site access and permit status linked to the employee record
- Project mobilisation and demobilisation supported
- Shift rostering for continuous operations
- Contractor competency records held alongside own staff
Validating the roster against authorisation is the capability that changes behaviour. Where the system will not let an unauthorised person be scheduled, the record stops being paperwork.
- Competency recorded
- Expiry tracked
- Roster validated
- Gap visible early
Questions on this, in energy and utilities
No. We can configure workflows on the GullyHR platform, or advise on the settings and gaps of a system you already own. The first step is the process, and the tool choice follows from what you need and what you have.
We do not assume it. A link between HR records and operational systems depends on what those systems offer and what you want, and would be scoped and agreed separately. Without a link, the register can still be checked by the permit issuer.
We design a fallback, such as an offline sheet entered by a named person before a cut-off, and settle that rule first. Where connectivity exists, supervisors can enter and approve directly in the system.
We set access by role, so that supervisors see their team and employees see their own record. How you store and protect personal data is your responsibility, and obligations that apply should be confirmed with a qualified professional.
It depends on the number of sites, the quality of existing data and how many workflows you include. We usually start with one site and a few workflows, and agree a timeline for the rest after we have seen how the first one behaves.
Hold one record per person with authorisations and medical fitness, link it to the roster and the permit, and capture attendance for everyone on site. Those links address the main risk.
It can block a roster or permit assignment when the record shows no current authorisation. The control is only as good as the record, so keep the record current.
Yes, on a light record. You cannot manage safety on a site if you cannot see who is on it and what they are cleared to do.
If it is simple, works offline and saves them time, yes. If it adds steps, they will keep the paper.
Not necessarily. The HR record needs to be readable by it. Integration is often cheaper than replacement.
Make Your Records and Your Roster Agree
If answering who is authorised today means calling three people, one shared record is the remedy. Tell us what you use now and we will discuss what to set up first.

The general method — what hr technology and automation covers, the questions it answers and what an engagement produces — is the same whatever the sector, and is set out on the hr process automation page. What is above is the part that differs for energy and utilities.
To run this in a system rather than on paper, see gullyhr software.
