HR documentation process for Milk collection centres: centre files, training records and equipment checks
A collection centre generates records daily, but the people records are often missing. Appointment notes, training sign-offs and equipment checks need a place and an owner.

Centres keep passbooks, test registers and payment sheets with care, because farmers insist on them. The people side gets less attention: a joining note may exist only as a phone message, a training session leaves no record and a calibration is remembered, not written.
One file for each centre solves most of this. It holds the appointment notes for each staff member, the role notes, the cover plan, training sign-offs and the log of equipment checks. It lets a new supervisor take over a route without starting from zero, and gives the organisation something solid to refer to if a dispute or an audit question appears.
How to set it up
1. Set up one file for each centre
Use a folder or a notebook with the same sections for every centre, and put it where the route supervisor can reach it.
2. File the basics for each person
Appointment note, role note, joining date, pay terms and emergency contact.
3. Record training as it happens
Date, topic, who taught and who attended, signed by the supervisor. Add machine calibration and cooler cleaning.
4. Log equipment checks
A simple sheet for each testing machine and cooler with date, check done and initials.
5. Review the file at each visit
The route supervisor checks the file is current and adds a note. Compare with the employee information management approach.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick two centres and see whether each has an appointment note for every staff member.
- Look for a record of the last calibration of the testing machine.
- Ask when the cover person was last shown the routine and where that is noted.
- Check who holds the centre files and whether they are locked or lost.

Questions owners ask
An appointment note, a role note, joining date, pay terms, training records and an emergency contact. Confirm with a qualified professional what additional records the rules expect you to hold.
The route supervisor holds the master, and the operator keeps a working copy at the centre. Decide who updates it and when so the two do not diverge.
That depends on the rules and your own needs, so confirm with a qualified professional. In practice, keep files for departed staff in a safe place for some years.
