Moving From Spreadsheets to an HRMS Without Losing Your Records
Most small companies keep employee data across several spreadsheets, each with its own columns and its own owner. GullyHR helps you clean those sheets, map every field to the new system, move the data and run both side by side before you switch off the old files.

Not sure what you need? Tell us about your business in six short steps and we will come to the first meeting prepared.

Excel to HRMS migration means moving employee, leave, attendance and pay input records from spreadsheets into one HR system. The work is mostly data cleanup, field mapping, a test load, a parallel run and a cut-over decision. GullyHR plans and supports this as part of HRMS implementation, whichever system you choose, including ours.

The starting point
When businesses ask us for this
- Employee details sit in three or four sheets that do not agree with each other.
- Nobody is sure which sheet is the latest, and people edit copies.
- Leave balances are kept in one place and attendance in another, and they are reconciled by hand before pay.
- A new system was bought, but the data load keeps stalling because the sheets need cleaning first.
- The same person appears under two spellings, or with an old designation.
- Dates, codes and department names are typed in different ways by different people.
- You worry the move will break last month's balances or lose history.
What the work covers
We start by listing every sheet that holds HR data, who maintains it and what it is used for. We then agree which fields go into the new system and which stay behind as history. Each sheet is cleaned against a short set of rules: one row per person, one format per field, no blanks in required fields. A mapping table links every old column to a field in the new system. We load a small test set, check it with the people who own the data, then load in full. A parallel run follows, using old and new together for one cycle, before a written cut-over decision.
Inventory: find every sheet and what depends on it.
A list of files, owners, columns, update habits and the reports or pay steps that read from them.
Cleanup: make the data fit for loading.
Remove duplicates, fix spellings and date formats, fill required fields, agree codes for departments and designations, and flag records that need a person to decide.
Field mapping: say where every column goes.
A table from each old column to a new field, with the rule used to convert it and a note on what is dropped or kept as history.
Test load: try a small set first.
Load a handful of records, compare them to the source and fix mapping errors before the full load.
Cut-over checklist: switch in a controlled order.
Freeze the old sheets, take a final copy, load, check counts and balances, release access and brief the users.
Parallel run: use both for one cycle.
Compare leave, attendance and pay input results from the old sheets and the new system, resolve differences and decide whether to switch.
The process
How it runs
List the sheets
Walk through each file with its owner, noting columns, update habits and what it feeds.
Agree the target fields
Decide which data goes into the system, which stays as archive and which is no longer needed.
Clean the data
Apply the cleaning rules, resolve doubtful records with the owner and keep a log of every change.
Map and test load
Build the mapping table, load a small set, compare with the source and correct the mapping.
Full load and check
Load everything, check counts, balances and a sample of records against the sheets.
Parallel run
Use old and new together for one cycle, review differences and fix their cause.
Cut over
Freeze the sheets, confirm the final data, switch users to the system and keep the old files read-only.
What you receive
- Sheet inventory with owners and dependencies
- Data cleaning rules and a change log
- Field mapping table
- Test load report
- Cut-over checklist with owners
- Parallel run comparison and cut-over sign-off note
Who it is for
- Companies whose HR data lives in spreadsheets and who have decided to move to an HRMS.
- HR leads who have a system but have not yet loaded their history.
- Businesses that have outgrown sheets after adding locations or headcount.
- Founders who want records they can trust before an audit or fundraise.
- Teams moving from one HR system to another and starting from exported sheets.
Why GullyHR.
We treat the move as an HR task with a data problem inside it. The people who know what a column really means are in HR, finance and operations, so the checks are done with them, not on a developer's screen. The mapping table is written in plain language so a manager can read it and spot a mistake.
Design the process
Map how the work runs today, then write the procedure, the forms and the approval route it should follow.
Strengthen management
Settle the structure, the roles and the decisions each level can take without the owner.
Develop people
Train the managers who have to run it — the review, the difficult conversation, the handover.
Automate HR
Configure the agreed process in software, so the document and what people actually do stay the same thing.
The difference
What changes
- One clean employee record per person, with agreed formats.
- A written mapping that explains where each old column went.
- Leave and attendance balances checked against the old record before go-live.
- A parallel run that finds differences while the old sheets still exist.
- A signed cut-over decision with a named owner.
What it looks like
Sample field mapping extract
Every old column gets a target field, a rule and a decision.
| Target field | Rule | Decision | |
|---|---|---|---|
| Name (Sheet 1) | Full name | Trim spaces, one spelling per person | Load |
| DOJ (Sheet 1) | Date of joining | Convert to one date format | Load |
| Dept (Sheet 2) | Department | Map to agreed department list | Load |
| Remarks (Sheet 2) | None | Free text, no clear use | Archive |
Illustrative only. The real mapping uses your sheets, your column names and the fields your chosen HRMS offers.
Before you enquire
This is not the right fit if
We would rather say so here than after a call. If one of these describes you, the links alongside point to what will serve you better.
- You have not yet chosen an HRMS and want help picking one; start with the software and implementation pages.
- Your data is already in a system and only needs a few fields added.
- You want pay computed or statutory returns filed; GullyHR does not do that.
- You want a developer to build a custom integration; we do not promise specific integrations.

Working together
Who does what
| Activity | GullyHR | Your team |
|---|---|---|
| Providing source sheets and answering questions about them | Reviews the sheets and raises questions. | Supplies the sheets and settles doubtful records. |
| Data cleaning | Sets the rules, prepares the clean file and logs changes. | Approves changes to people's records. |
| Mapping and loading | Builds the mapping and runs the load. | Confirms the mapping reflects how HR works. |
| Parallel run | Compares results and reports differences. | Uses both and decides whether to switch. |
| Pay and statutory processing | Does not compute pay or make statutory filings. | Keeps its own provider or team for pay and filings. |
Where the software fits
The migration works with the HR system you choose. GullyHR software is one option and is described on the HRMS software page; the method does not depend on any particular vendor, and we do not assume a specific integration. Files are exchanged as spreadsheets or comma-separated files.
Ways to engage us
- Data readiness review
- We read your sheets and return a list of problems, a mapping draft and an effort view. You can fix the data yourself.
- Migration project
- Cleanup, mapping, test load, full load and cut-over support for the system you choose.
- With HRMS implementation
- The data move is planned together with configuration, roles and training, as one project.
Good to know
Questions we are asked
It depends on how many sheets you have, how clean they are and how many people need to decide doubtful records. We give an estimate after reading your files. Cleanup is usually the longest step.
Yes, and we help you do it. Loading messy data only moves the mess into a new place. Duplicates, inconsistent dates and missing identifiers are cheaper to fix before the load than after.
It is a table that shows, for every column in your old sheets, which field in the new system receives it, what conversion is used, and what is dropped. It is the main document for checking the migration.
A parallel run means using the old sheets and the new system together for one cycle and comparing results. It is not mandatory, but it is the safest way to find differences in leave and attendance before anyone depends on the new system.
Not if you decide what to keep. We agree which history is loaded and which stays as read-only archive files. Old sheets should not be deleted until you are sure nothing is missing.
Our method works with any system you choose, and GullyHR software is one option. We do not claim integrations with particular products. If you are still choosing, the HRMS software page explains what ours covers.
Every sheet that holds HR data, the person who maintains each one, access to the target system, and a decision-maker for doubtful records. A data owner who can answer questions within a day keeps the project moving.
We migrate pay inputs and employee pay details as data. GullyHR does not compute pay or make statutory filings, so your own provider or team continues to do that.
Implementation covers choosing, configuring and training. This page covers moving your existing data. They are often done together, but the data move can be commissioned on its own.
Headcount, number of sheets, how clean the data is, how much history you load, whether we run the parallel run with you, and whether the migration sits inside a wider implementation. A written quote follows a short scoping call.
