Manage Employee Changes with Clear Approvals and Records

Confirmations, transfers, promotions and salary revisions happen in most companies as a verbal understanding or a WhatsApp message, so nobody can say later what was approved and by whom. We design one route for every kind of employee change, fix the approval level for each, and put the resulting record where it can be found again.

What is employee movement process?

An employee movement process is the defined way a company handles confirmation, transfer, promotion, salary revision, reporting-manager change and temporary assignment — every change to an employee's role, position or terms after they join. A consistent process names who initiates each change, who approves it, what letter is issued, and how the record and any HR system are updated.

When businesses ask us for this

  • A supervisor was told they were confirmed at a review meeting, and six months later nobody can find anything about it in writing.
  • Two employees transferred to the same new location on different terms, because whoever approved each move decided it on the spot.
  • A promotion was announced before the salary revision was worked out, so payroll processed the old figure for two more months.
  • An employee has been doing a manager's job on a temporary basis with no end date and no letter confirming it is temporary.
  • A reporting-manager change happened when a manager resigned, and nobody updated who now approves that team's leave.
  • A transfer was approved verbally, and the receiving location's head found out only when the person turned up.
  • An auditor asked for the letter behind a salary revision from a year ago, and finding it took two people an afternoon.

What the work covers

GullyHR designs the process that governs every change to an employee's role, position or terms after they join: confirmation, transfer, promotion, salary revision, reporting-manager change and temporary assignment. We map how each of these happens today, design one request-and-approval route per movement type, write the letters and forms each one needs, and configure the workflow in the GullyHR software or the system you already run. You decide the approval levels, the eligibility rules for confirmation and promotion, and any salary bands, because those are management decisions. This is a defined consulting and implementation engagement with an agreed scope, not an ongoing outsourced HR service.

Confirmation follows a review, not the calendar alone.

A probation review format tied to the joining date, a checklist of what must be assessed before confirmation, an approval step, and a confirmation letter issued on a fixed date rather than whenever someone remembers the anniversary.

A transfer is agreed by both ends before it is announced.

A transfer request format naming the reason, the releasing manager, the receiving manager and the effective date, an approval route requiring sign-off from both sides, and a checklist covering handover, asset movement and any change to reporting or compensation.

A role change is written down before the person starts doing the new work.

A route for redefining an employee's responsibilities within their existing position, distinct from a promotion, with the revised role description issued in writing and the change reflected in the employee record from the effective date.

Promotion follows eligibility criteria your managers can apply consistently.

Defined eligibility conditions, a nomination and approval route, a promotion letter template, and a sequencing rule that settles the new designation, reporting line and salary revision together rather than announcing one and working out the rest later.

A salary revision is approved before it is promised.

An approval route tied to budget and grade, a revision letter template, and a rule for when a revision takes effect in payroll, so a figure discussed in a meeting does not outrun what payroll has actually been authorised to process.

A change of reporting manager updates every approval that depends on it.

A route for recording when an employee's reporting manager changes, whether from a resignation, a restructuring or a transfer, with the update carried through to leave approval, attendance regularisation and appraisal ownership rather than left for someone to notice.

A temporary assignment has a start date, an end date and a written basis.

A format for assigning an employee to cover a role, a location or a project temporarily, stating the duration, what changes for the period and what reverts at the end, so a temporary arrangement does not quietly become permanent without a decision.

Every movement is communicated the same way, every time.

A standard communication step for each movement type, stating what the employee is told, when, and by whom, so a confirmation, transfer or promotion reaches the person formally rather than through the manager who happened to mention it first.

How it runs

  1. Map current movement practice

We review how confirmation, transfer, promotion, salary revision and reporting-manager changes are currently requested, approved and recorded, and identify which have no defined route at all.

  2. Design the route for each movement type

For each movement, we draw the initiation point, the approval level, and any conditions, such as a minimum service period for confirmation or a budget check for a salary revision.

  3. Set eligibility and approval limits with you

Confirmation criteria, promotion eligibility, salary bands and who may approve each movement type are working decisions we put in front of you, with the trade-offs of each option explained.

  4. Draft the forms and letter templates

A request format for each movement type and the letter it results in — confirmation, transfer, promotion and revision letters — written in language an employee can read without needing HR to explain it.

  5. Build the responsibility matrix

A single reference naming who initiates, who approves, who issues the letter and who updates the record for every movement type, so nobody has to ask who owns a step.

  6. Configure the workflow in your HR system

Movement requests, approval routing, letter generation and the resulting update to reporting line, designation or salary are configured in the GullyHR software or the system you already run.

  7. Train managers and roll out

Managers are briefed on when to initiate a movement request and what they are approving, and we support the first cycle of confirmations, transfers or promotions that runs on the new process.

What you receive

  • An employee movement policy covering confirmation, transfer, promotion, salary revision, reporting-manager change and temporary assignment.
  • A request-and-approval workflow map for each movement type, with the approval level named.
  • Letter templates for confirmation, transfer, promotion, salary revision and temporary assignment.
  • A responsibility matrix naming who initiates, approves, issues and records each movement.
  • Eligibility criteria for confirmation and promotion, agreed with your management team.
  • A configured movement workflow in the GullyHR software or your existing system.
  • A manager briefing pack and support through the first live cycle of movements.

Who it is for

  • Companies where confirmations, transfers and promotions have been handled case by case, with no consistent route or paperwork behind them.
  • Businesses opening a second location or department that need transfers between sites to follow one agreed process.
  • Companies growing fast enough that promotions and salary revisions happen often enough to need a defined route rather than one-off decisions.
  • Businesses that have just hired an HR manager and want employee movement handled from a written process rather than institutional memory.
  • Companies preparing for a funding round, audit or statutory inspection where movement records will be examined.
  • Organisations where a reporting-manager change during a resignation or restructuring has previously been missed in approvals and systems.

Why GullyHR.

Employee movement usually breaks down at the handover between people: the manager who approved a transfer, the person who was meant to update the record, and payroll who needed to know by a certain date. GullyHR designs the route, writes the letters, configures the workflow in the GullyHR software or your existing system, and trains the managers who will run it, so a confirmation or promotion moves through one connected process instead of depending on everyone remembering their part.

What changes

  • Every confirmation, transfer, promotion and salary revision follows the same route, whichever manager initiates it.
  • A movement is approved and documented before it takes effect, not explained afterwards.
  • Payroll receives salary revisions and promotions with a confirmed effective date, not a figure still being finalised.
  • A reporting-manager change updates leave, attendance and appraisal approval in the same step, without a separate reminder.
  • Movement letters and records can be produced when an employee, auditor or investor asks for them.
  • A temporary assignment ends when it was supposed to, because the end date was written down at the start.

Where the software fits

The GullyHR platform holds each employee's designation, reporting manager, salary and location as fields on their record, so a confirmation, transfer, promotion or salary revision raised as a request routes to the approver you defined, and once approved, updates the record, generates the letter and carries the change into attendance, leave and payroll input without a separate manual step. Movement history stays against the employee record, so a past transfer or revision can be found without searching through files. Where you already run another HR or payroll system, we design the movement routes against it and tell you plainly where it cannot support a step you have approved.
