Note

The amounts, the computation and the statutory deductions on a salary slip come from your payroll provider or payroll system. This format only shows the headings. Confirm statutory components and the slip's required contents with a qualified adviser.

A starting point, not legal advice. Check the final wording against your contracts and the rules of your state, and have a qualified professional review it before you issue it.

How to use this template

  1. Agree the headings with your payroll provider so the slip matches your pay structure and appointment letters.
  2. Keep the component names the same as in the employee's CTC break-up.
  3. Check a sample of slips each month against the payroll inputs before release.
  4. Release slips on the same day each month, by email or an employee portal.
  5. Make sure employees know whom to write to about a query, and answer in writing.
  6. Keep copies with payroll records for the period your adviser advises.

Common mistakes

  • Showing one lump-sum figure, so employees cannot see how pay was worked out.
  • Using component names that differ from the appointment letter.
  • Releasing slips before the payroll variance review has been done.
  • Not showing the loss-of-pay days, which leads to queries.
  • Leaving out a contact for queries or a time limit for raising them.

Adapt it to your business

  • Factory or plant: add overtime hours, shift allowance and attendance bonus lines.
  • Shop or retail: add incentive and commission lines with the period they relate to.
  • Clinic or hospital: add on-call or night duty allowance lines.
  • Office or services firm: add reimbursement lines, such as phone and travel claims.
