Note

Appointment terms are a legal document. Confirm the final wording, including probation, notice, confidentiality and any restrictive terms, with a qualified adviser and against your state's shops and establishments rules before use.

A starting point, not legal advice. Check the final wording against your contracts and the rules of your state, and have a qualified professional review it before you issue it.

How to use this template

  1. Confirm that the offer terms, the approved pay sheet and this letter all agree before printing.
  2. HR fills the letter and Annexure A from one approved source and a second person checks every figure.
  3. Attach the job description as Annexure B so duties are written down from day one.
  4. Issue it on or before the joining date, in duplicate, and ask the employee to sign and return a copy.
  5. File the signed copy in the employee record and note the date it was returned.
  6. Review the template yearly, and whenever your leave, notice or probation terms change.

Common mistakes

  • Letting the appointment terms differ from the offer letter on pay, probation or notice.
  • Leaving out the job description, so duties are argued about later.
  • Using wording copied from another company without checking it against your own policies.
  • Not collecting a signed copy, so there is no proof the employee accepted the terms.
  • Putting rules in the letter that are not in the policy, or the other way round.

Adapt it to your business

  • Factory or plant: add shift pattern, overtime treatment and safety training before the first shift.
  • Shop or retail: state weekly off, shift rotation and how incentives are measured.
  • Clinic or hospital: add registration checks for clinical roles and on-call expectations.
  • Office or services firm: add hybrid working days, device policy and client confidentiality terms.

Questions about this template

Yes. The offer invites a candidate to join on stated terms. The appointment letter confirms those terms once the person joins and forms the main record of employment.
