Project Manager job description

A Project Manager plans work, assigns it, tracks progress and keeps the client or leadership informed. The role gets projects finished on time, within scope and without surprises.

An HR consultant and business owner reviewing employee records together

Why the role exists

Projects fail when nobody owns the plan, the people and the risks. The Project Manager holds all three. In Indian software, construction and services firms, the role works with clients, engineers, site teams or designers, and reports to a delivery head or director.

What the person does

  • Define project scope, milestones and deliverables with the client and internal teams.
  • Break work into tasks, assign owners and agree realistic deadlines.
  • Run daily stand-ups or weekly reviews and record decisions and actions.
  • Track progress, effort and cost against the plan using a project tool.
  • Identify risks early, agree a response and escalate blockers to leadership.
  • Handle change requests by checking impact on time, cost and scope before approval.
  • Send clear status reports to clients and management on a fixed schedule.
  • Close projects with handover, lessons learned and final documentation.

Skills and tools

  • Planning and scheduling in tools such as Jira, MS Project, Asana or Primavera
  • Scope, risk and change management
  • Budget and effort tracking against plan
  • Stakeholder communication, including clients, vendors and senior leaders
  • Running meetings that end with owners and dates
  • Basic knowledge of Agile or waterfall methods, depending on the work
  • Negotiation and conflict handling between teams
  • Clear status reporting in short written updates

Education and experience

Preferred, never a bar: equivalent experience counts.

  • Graduation in engineering, business or a related field preferred, or equivalent experience
  • Preferred: PMP, PRINCE2 or Scrum certification, which is useful but not essential
  • Preferred: several years of delivering projects in your industry, such as software or construction
  • Preferred: record of managing teams and clients across a full project cycle

How the work is judged

  • Delivery of projects against agreed scope and timeline
  • Control of cost and effort compared with the plan
  • Client and stakeholder satisfaction at review points
  • Quality of risk handling and how early issues were raised
  • Completeness and clarity of reports, documents and handover

Where the role can lead

  • Senior Project Manager or Programme Manager handling several projects
  • Delivery Head or Director of Projects responsible for a practice
  • Moving into product management, operations or general management

Interview questions to ask

Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.

  1. Tell us about a project that went off track. When did you notice, and what did you do?
  2. A client asks for a major change two weeks before delivery. How do you respond?
  3. How do you plan a project when estimates from the team keep changing?
  4. What do you include in a weekly status report for a client and for your director?
  5. How do you handle two team members who disagree on the approach?
  6. Which project tools have you used, and how did you choose between them?

Hiring tips for this role

  • Ask candidates to explain one project in detail: scope, team, issues, outcome. Vague answers often mean someone else ran it.
  • Use a case. Give a short brief with conflicting deadlines and watch how the candidate asks questions, sets priorities and communicates risk.
  • Separate coordinators from managers. Check whether the person owned decisions, budget and client relationships or only tracked tasks.
  • Confirm domain fit. A software project manager may struggle on a construction site, and the reverse is also true.

Questions about hiring a project manager

No. A coordinator supports schedules, meetings and documents. A Project Manager owns the plan, the team, the budget and the client relationship, and is accountable for results.
