Customer Support Executive job description
A Customer Support Executive answers customer questions and fixes problems through phone, chat, email and social media. The role protects reputation and repeat business by solving issues quickly and politely.

Why the role exists
Customers judge a business by how it treats them after a purchase or a problem. The Support Executive is the person who answers. In Indian e-commerce and software companies the role covers orders, refunds, product help and escalations, often in shifts and in several languages.
What the person does
- Respond to customer queries on phone, chat, email and social channels within agreed time.
- Log every case in the helpdesk with clear details of the problem and steps taken.
- Resolve common issues such as delivery status, refunds, login problems and product use.
- Escalate complex or urgent cases to the right team with full context.
- Follow up with customers until the problem is closed and confirm they are satisfied.
- Use approved scripts and policies but adapt tone to the customer's mood.
- Record repeat complaints and share patterns with the team lead every week.
- Update the help centre or articles or macro replies when answers change.
Skills and tools
- Clear spoken and written communication in English, Hindi and regional languages
- Helpdesk tools such as Freshdesk, Zendesk or Zoho Desk
- Typing speed and accuracy when handling chats and emails
- Patience and calm when dealing with upset customers
- Problem solving using product knowledge and company policy
- Reading order, shipment or account details and acting on them
- Basic Excel or Sheets for reports and call logs
- Working in shifts and following a roster
Education and experience
Preferred, never a bar: equivalent experience counts.
- Higher secondary or graduation preferred, or equivalent experience in customer-facing work
- Preferred: some experience in a call centre, chat support or retail customer service
- Preferred: comfort with at least two languages used by your customers
- Basic computer skills and willingness to learn the product and policies
How the work is judged
- Speed of first response and time taken to resolve cases
- Customer satisfaction scores or feedback after each interaction
- Accuracy of case notes and correct use of policies
- Share of issues solved without needing escalation
- Quality of feedback shared about repeated customer problems
Where the role can lead
- Senior Support Executive or Team Lead managing a shift
- Support Manager or Quality Analyst focusing on process and training
- Moving into customer success, operations or product support roles
Interview questions to ask
Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.
- A customer shouts that their order is late and wants a refund now. What do you say first?
- How do you handle a case when you do not know the answer?
- Describe a time you turned an unhappy customer into a satisfied one.
- How do you stay polite when a customer is rude for many minutes?
- What details do you note in a case so the next agent can continue without asking again?
- How would you manage ten open chats at the same time?
Hiring tips for this role
- Test live: run a mock chat and a mock call. Score listening, clarity, tone and whether the candidate follows policy.
- Check language fit against your real customers, not just the resume. Ask for a short call in each required language.
- Be open about shifts, weekends and targets. Surprises at joining cause early exits in this high-turnover role.
- Plan training and shadowing time. Even good hires need a few weeks to learn products and policies.
Questions about hiring a customer support executive
Clear communication, patience and the ability to follow policy while staying kind matter most. Product knowledge can be taught, but tone and listening are hard to change, so test them early.
In-house teams know the product better and protect brand voice. Outsourcing can help with volume and night coverage. Many small businesses start in-house and add outside help as volumes grow.
Be honest about shifts and targets, train well, give a clear growth path and listen to feedback from the team. Rewarding quality, not only speed, also helps people stay.
