An HR consultant and business owner reviewing employee records together

Why the role exists

Facility management firms run many sites with small on-site teams. The area supervisor visits a cluster of sites, checks housekeeping, security and technical staff, and reports to the operations manager. They are the first point of escalation for the site coordinators and the client.

What the person does

  • Visit each site in the assigned cluster on a planned route and check cleanliness, attendance and equipment against the contract.
  • Check that the right number of housekeeping, security and technical staff are present on every shift, and arrange cover for gaps.
  • Meet client representatives at each site, hear complaints and agree corrective action within the service levels.
  • Audit consumables such as cleaning chemicals, machines and uniforms, and raise stock requests before supplies run out.
  • Inspect work areas such as washrooms, lobbies, pantries and common areas, and record findings on the audit checklist.
  • Coach team leaders and site staff on standard operating procedures, and arrange refresher training with the trainer.
  • Handle staff issues such as absence, conflicts and grievances at the site, and escalate serious cases to HR or the operations manager.
  • Send a weekly report on attendance, audit scores, complaints and pending actions for each site to the operations manager.

Skills and tools

  • Site audits against a contract checklist
  • Managing housekeeping, security and technical teams
  • Handling client representatives and complaints calmly
  • Shift planning and manpower cover across sites
  • Stock and consumables tracking for cleaning and maintenance
  • Basic knowledge of cleaning machines and chemicals
  • Mobile reporting apps, WhatsApp groups and MS Excel
  • Local travel across a cluster of sites on a fixed route

Education and experience

Preferred, never a bar: equivalent experience counts.

  • Preferred: graduate or diploma holder, or equivalent experience in facility management or supervisory work.
  • Preferred: two or more years supervising a team in housekeeping, security or technical services.
  • Preferred: experience dealing with corporate or residential clients and their complaints.
  • Preferred: ability to travel between sites by two-wheeler or public transport, as the employer arranges.

How the work is judged

  • Audit scores of the sites in the cluster over time.
  • Client complaints raised, and how quickly they are closed.
  • Manpower cover on each shift compared with the contract.
  • Stock and consumables available without emergency purchase.
  • Staff retention and attendance across the cluster.

Where the role can lead

  • Facility Manager for a single large site.
  • Operations Manager or Account Manager for a region.
  • Client Servicing Manager or Quality Auditor for the firm.

Interview questions to ask

Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.

  1. A client complains that washrooms are dirty by noon every day. How do you find and fix the cause?
  2. Two staff do not turn up at a site on Monday morning. What is your plan?
  3. How do you plan your weekly route across several sites?
  4. Describe how you handled a difficult client representative.
  5. How do you coach a team leader whose site keeps scoring poorly in audits?
  6. Tell us about a time you caught a problem in an audit that the site team had missed.

Hiring tips for this role

  • Ask the candidate to describe a typical week of visits. Good supervisors can name checklists, route and escalation steps without pause.
  • Test people skills. Role-play a complaint from a client and a conflict between two staff members.
  • Clarify how many sites and staff the person will cover. Too wide a cluster causes poor visits and weak follow-up.
  • Confirm travel allowance and vehicle needs in the offer. Unclear terms are a common reason supervisors leave early.
