Why employee onboarding process matters in pharmaceutical distributors

The first days are when habits form. If a new picker is placed next to the fastest person and told to keep up, he learns to skip checks. If a new biller is given a login and left to learn, he learns by making errors on real orders. In a distributor where each strip matters, that is a costly way to train.

A planned week sets the tone. It begins with why accuracy matters in plain words, a walk through the godown and an order from start to finish. It teaches handling, batch and expiry basics at the rack, with sign-offs. It ends with a talk about how the week went and what is unclear.

How to set it up

  1. 1. Prepare the joiner's first day

Arrange a locker, ID, a buddy and a one-page week plan. Tell the buddy to cover the role steps in order, not to rush.

  2. 2. Walk through one order

Show the joiner an order from call to delivery, naming each role and what it confirms. Let them watch a picker and a checker work on the same order.

  3. 3. Teach handling, batch and expiry at the rack

Show how strips are stored, how batch and expiry are read, and what to do with damaged or short-dated stock. Check understanding with a short practical task.

  4. 4. Cover cold-room and record routines where relevant

Only trained staff handle cool storage items. Teach the steps and the record sheet, and sign off after observed practice. Link to your HR documentation process.

  5. 5. Check in on days five and thirty

The in-charge asks what felt unclear, which errors were made and what would help. Record the answers and adjust the next joiner's week.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Ask last month's joiner what they were told on day one about accuracy.
  • Check that each new picker was observed before working alone.
  • See whether the buddy had time set aside for the joiner.
  • Compare error counts for staff in their first month and later.

Questions owners ask

It depends on the range of products and the person, so a fixed number would mislead. Move to solo picking when the buddy signs off the main tasks on real orders, and keep a checker on the order.
